The Document Controller will be responsible for managing the transmittal of documents between Emerson and its customers on projects as well as ensuring documents are submitted and received on time and correctly stored in our document repository. The candidate will provide regular Project Document Status Reports to Customer & Project Management Office. The Document Controller will work closely with the Project Execution Lead, Project Engineers, Project Managers, Inside Sales Representatives, Business Admins and the Global Support team.
In this role, your responsibilities will be:
• Develop and maintain Emerson documentation standards (layout and contents).
• Set up projects in the Document Management System (DocPro).
• Coordinate training and access to the Document Management System for the project team.
• Study drawings, specifications, product samples, among other documentation in order to store it accordingly in the Document Management System, based on the corresponding discipline and document type.
• Manage project documentation and associated metadata in accordance with the agreed plan, customer agreements and any other existing industry requirements.
• Formally transmit all official project documents and distribute as necessary.
• Receive and upload all incoming documentation and client responses into the Document Management System, as required and in a timely manner.
• Create Documentation Dossier according to user’s requirements (table of contents, cover sheets, bookmarks and cite sources) for Projects.
• Provide final documentation that accurately meets customer requirements (electronic, paper, CD-ROMs) and ensure the highest standards of presentation are maintained.
• Respond effectively to documentation requests and queries from internal customers.
• Acts as liaison between the Drawing Team / Sales Engineers / Project Manager/ Engineers / Order Administrators and Project/Customer Administrators Team in all documentation related matters, in order to bring clarity and meet customer requirements in the agreed timeline.
• Participate in kick off meetings and/or schedule meetings with project teams to provide status reports, solve any questions and/or track any action items related to the project documentation.
• In case of need, acts as escalation point for all documentation execution related matters in front of internal and external customers.
• Provide basic troubleshooting to internal and external users when encountering issues with the DocPro, and act as an escalation point to submit ticket requests to Project Management Office to correctly handle and solve their issues.
• Perform adequate documentation management.
• Archive soft copies of documentation.
• Perform language and formatting proofreading of the project documentation.
• Develop and maintain good knowledge of the official EDMS (DocPro), and the other collaboration tools used by project teams (online SharePoint, Teams, Connect).
• Follow-up on the project documentation status, schedule dates, on time delivery and report the status as per project specifications.
• Communicate in a timely manner the status of the work being performed, issues, and important notices about the projects being handled.

For this role, you will need:
At least 2 yeas of working experience in a similar positions.
University Degree. Any Educational or English Degree will be a plus.
Intermediate knowledge about Oracle, Clarity, Microsoft Office, Outlook, SharePoint, Adobe Acrobat.
Must have excellent oral and written English skills (B2)
Must have excellent people and communication skills to be able to interface with all levels of associates.
