The Document Controller I plays a critical role in supporting project execution across MSOL Business Units in the Latin America region by ensuring accurate, timely, and compliant management of project documentation. This position is responsible for controlling the transmittal, storage, and quality of project documents between Emerson, customers, and internal stakeholders. The role works closely with Project Management, Engineering, Sales, and Global Support teams to ensure documentation meets customer requirements, project schedules, and industry standards.
Project Documentation Management
- Manage the transmittal of project documentation between Emerson and customers, ensuring documents are submitted, received, and stored accurately and on time.
- Set up projects within the document management system and maintain proper document structure and metadata.
- Collect, organize, review, and control electronic documentation from internal teams, business units, and external sources.
- Archive and maintain soft copies of project documentation in accordance with established procedures.
Documentation Standards & Quality
- Develop, maintain, and apply Emerson documentation standards related to layout, format, and content.
- Prepare comprehensive documentation dossiers for projects, including tables of contents, cover sheets, bookmarks, and source references, in alignment with customer requirements.
- Review published materials and recommend improvements related to scope, format, content, and reproduction methods.
- Perform language, formatting, and quality proofreading to ensure documentation clarity and professionalism.
Transmittals, Reporting & Customer Support
- Formally transmit official project documentation and ensure proper distribution to internal and external stakeholders.
- Receive, upload, and track customer feedback and responses within the document management system.
- Provide final documentation deliverables in the required formats (electronic, paper, or physical media), maintaining high presentation standards.
- Generate and share Project Document Status Reports with Customers and the Project Management Office.
- Respond promptly and effectively to documentation-related requests and inquiries from internal customers.
Coordination, Risk & Escalation
- Act as a liaison between Drawing Teams, Sales Engineers, Project Managers, Project Engineers, Order Administrators, and Customer Administrators to ensure clarity, alignment, and adherence to agreed timelines.
- Monitor documentation schedules, delivery dates, and compliance with project specifications.
- Conduct documentation-related risk analysis and propose mitigation actions as required.
- Serve as an escalation point for documentation execution issues when necessary.
Training & Systems Support
- Coordinate system access and provide guidance or training to project team members on documentation tools and processes.
- Prepare user manuals, documentation guidelines, and “how-to” materials to support consistent document management practices.
You are detail-oriented and methodical, with a strong commitment to document accuracy, organization, and compliance. You communicate clearly and professionally, collaborating effectively with multidisciplinary and multicultural teams. You take ownership of documentation deliverables, proactively manage risks, and consistently strive to meet customer expectations and project timelines.
- University degree in Document Management, English, Administration or a related field.
- Strong proficiency in Microsoft Office applications, particularly Word, PowerPoint, and Excel; knowledge of Access and SharePoint is a plus.
- Experience working with Adobe tools.
- Written and verbal English communication skills B1.
- Strong interpersonal skills with the ability to interact effectively with stakeholders at all organizational levels.
