The opportunity:

As an Assurance SL Administrative Assistant, you will be an integral part of our team, responsible for providing essential administrative support that facilitates the delivery of quality assurance services to our clients and their stakeholders. In this role, you will handle a variety of tasks, which are crucial for the smooth operation of our assurance processes.

Your key responsibilities:

  • Working with Microsoft Outlook: extensive use of Outlook; checking mailboxes for Partners on request; working with Partners’ and managers’ organizer
  • Time reports control processing: weekly follow-up on Audit Service Line employees’ time charging
  • Expense reports processing: managing corporate expenses incurred by Partners and managers
  • Archive: updating the list of clients and client folders on a regular basis; working with the company archive database in accordance with the company policy
  • Drafting documents and letters: production of letters and informational memorandums; drafting agreements per information received from the managers, uploading in internal system
  • Formatting Audit Deliverables in Word document
  • Staffing: preparing files in the System based on the staffing file prepared by the managers organizing staffing plans on the respective engagements, managing the database, and keeping all records up to date
  • Updating and reconciling of databases
  • Organizing Vacations of the team per company policy
  • Travel arrangements: ticket ordering; car arrangements; visa support; registration of Partners and managers for the conferences, seminars, payment arrangements; gathering of business travel expenses, preparation of travel reports
  • Other duties as assigned

Backup function:

  • Covering reception area in their absence

Skills and attributes for success:

  • University graduate
  • Minimum 2 years of experience in a similar position
  • Fluent proficiency in written and spoken English and Georgian
  • Strong interpersonal and communication skills
  • Computer literacy with a good knowledge of office software applications, including Word, Excel, and PowerPoint
  • Ability to work within deadlines and adhere to corporate procedures
  • Willingness to grow and develop professionally within an international organization
