We’re looking for an outstanding individual to become a core part of our Executive Assistant team working with EY Law. EY Law complements EY’s current service offerings, enhancing the firm’s capabilities by providing more complex and comprehensive legal advice to new and existing clients. As part of the EA team, you will be the face to the business for internal stakeholders and external clients.

Your key responsibilities:
- Assisting legal team with tasks such as drafting documents, diary management and general legal administration (photocopying, scanning, printing, and in-office support when required)
- Undertaking the end-to-end file management process for legal team proactively managing manual/electronic filing and archiving through legal case management system
- Use excellent organizational, project management skills to ensure legal advisers have all relevant information for meetings both internal and external.
- Working with key stakeholders, internal and external, to gain a better understanding of their needs.
- Understanding business priorities and responding to same in an informed and appropriate manner
- Ability to produce documents with speed and accuracy and when appropriate utilise and liaise with the relevant document specialist team.
- Create, amend and circulate financial reports for legal team.
- Handling confidential information with discretion
- Management of complex calendars and scheduling requirements
- Liaising with and greeting clients and business guests
- Processing timesheet and expense reports
- Travel coordination (making travel arrangements and detailed travel itineraries)
- Administrative support to strategic ad hoc projects
- Maintain a strong working relationship across the business.
Skills and attributes for success:
- A proven track record of supporting and working at senior level, preferably within the Legal field.
- Good working knowledge of Microsoft Applications.
- Good working knowledge of document and client relationship management systems (iManage/ PDF software and financial and data recording applications)
- Good working knowledge of dictation and transcription software
- Experience of working with house style and large document reformatting
- Experience of amending and creating PDF documents and creating legal booklets
- The ability to influence and negotiate to balance multiple and competing demands.
- Ability to work on one’s own initiative and make informed and confident decisions.
- The confidence and capability to work with senior profile executives and clients and to form networks with staff at all levels and influence effectively.
- The ability to plan and anticipate potential problems and offer solutions.

You must have:
- 3 to 5+ years experience working as a legal secretary/EA
- Experience managing a portfolio of senior executives within the Legal field.
- Fast and accurate audio typing from digital dictation and MS Office skills are essential.
- Meticulous attention to detail
- Ability to work in the strictest level of confidentiality.
- Superb communication skills in both verbal and written format
- Time management skills that allow you to coordinate multiple competing tasks
- A solution focused mind-set and working style.
- A positive, can-do approach to work, even in challenging situations
You should have:
- Experience working at senior executive level within the legal field.
- Flexibility to adapt to changing plans.
- Legal acumen
- Experience in client relationship management
- A dedication to providing the highest level of support to senior executives.
