The Team and Opportunity

We are looking for an outstanding individual to take up the role of Senior Production Co-ordinator within our Operations Team. Key to this role is the project management of multiple disciplinary complex projects, projects with significant strategic, revenue and brand value to the firm.

They are required to swiftly assess project requirements, lead briefings and project status meetings. They manage and drive assigned projects from brief to execution managing stakeholder expectations and relationships along the way. They provide cover for the Operations Manager and support their peers and Operations colleagues as required.

The successful candidate should have experience in a production role, ideally in a creative agency, production/ post-production studio. They should have experience of working with scheduling (Adobe Workfront a bonus) and project management tools and have an understanding (but not technical experience) of post-production tools such as Adobe Suite (Design Illustrator, After Effects, Adobe Premiere Pro). Proficiency with MS office; particularly Outlook email, calendar, Excel and MS Teams.

Your Key Responsibilities

  • Project Management of complex multi-disciplinary projects conducting the initial assessment, validating eligibility and ensuring that all information required to qualify the project is provided
  • Schedule and lead project briefing and status meetings ensuring all agreed actions are documented, shared post the meeting and actioned
  • Co-ordinate and maintain individual project asset list(s) with input from the relevant stakeholder(s)
  • Ensure all assigned resources are working with clarity of expectations and to agreed timelines, keeping them updated on the status including any changes
  • Manage stakeholder queries, knowing when to escalate potential risks or issues to leadership
  • Working with the relevant Managers/team members (and stakeholders) ensure all disclaimers and/or relevant release forms are completed prior to project commencement
  • Schedule and chair project debrief meetings ensuring actions and lessons learned are shared with both stakeholders and the relevant team members.
  • First line escalation for the L1 coordinator(s) on queries relating to inbound jobs/projects
  • Provide admin support for the Operations Manager where needed
  • Work closely with other operations team members to include providing cover for planned and unplanned absence
  • Attend and contribute to team meetings
  • Contribute to fostering an energetic, fun, creative culture within the team and be an ambassador for Creative
  • Adherence to the Creative Team’s workflow management and operational processes

  • Excellent communication, time management, and organisational skills
  • Excellent project management skills couple with risk management (alleviating and de-risking where possible)
  • Meticulous attention to detail
  • Experience leading projects and collaborating with senior stakeholders
  • Excellent customer service and interpersonal skills with the ability to build and maintain strong working relationships with colleagues, clients, and key stakeholders
  • An ability to manage multiple projects and deadlines independently and efficiently and respond positively and calmly to shifting priorities, demands and timelines
  • Display business acumen and judgement by anticipating stakeholder and project needs and demonstrating an understanding of the commercial objectives of the firm
  • Teaming mentality with people management experience
  • Critical thinking and an ability to challenge the status quo
  • Demonstrate an understanding of business objectives and the impact they have on deliverables
  • Experience of working with Adobe Workfront beneficial
