Job Title: Talent Operations ER & CAT Coordinator – UKI
Function: GDS-CBS Skill Level: Experienced Rank: Senior Associate
Sub Function: Talent Services Reports to: Talent Enablement Coordinator (Supervising Associate - 64)

Job Summary:

Talent Services (TS) provides service offerings for respective functions where the extended delivery model is used along with high-quality skills and competencies delivered virtually. This is across service lines and regions – delivering non-repetitive project-based work through skilled, agile teams. The team in TS is an extension of the regional talent teams and will cover operational/non-transnational scope. These services are delivered from our centres in Buenos Aires, Argentina; Kerala and Bangalore, India; Wroclaw, Poland; and Manila, Philippines. TS team delivers consistent, high-quality and operationally efficient HR transactional services to EY through a globally efficient and effective network of GDS centres.

This role will support 2 functional areas within the UKI Talent function: UKI Employee Relations (ER) team and UK Counsellor Advice (CAT) team. The position will work across both functions, providing advanced qualitative and quantitative reporting, operational, and regulatory support.
50% of the role focuses on Employee Relations, including critical regulatory reporting to the Financial regulator, meeting ISQM quality requirements. The other main part of the role will be to develop and expand on the Hub of Chairs and facilitating the appointment of chairpersons for complex employee case management.
The other 50% focuses on CAT data analysis, supporting the UKI CAT management team by building insightful reporting, identifying trends, and contributing to data-led decision making.

The role will be varied and will include an element of administration, record keeping, and operational support, but will also have project related tasks.

Essential Functions of the Job:

Responsibilities:

ER Regulatory reporting
• Regulatory Reporting and Compliance
o Produce the quarterly high-profile regulatory report submitted to the Financial Reporting Council, ensuring consistency in outcomes and governance standards.
o Manage a complex stakeholder activity by coordinating with regulatory bodies to ensure timely notification of conduct-related issues, handling sensitive and high-trust matters in compliance with data protection requirements.
o Notify designated stakeholders (e.g., Regional Talent Leaders, Senior regional stakeholder) and respond to regulator queries to support external investigations.
o Produce internal regulatory reporting on a four-monthly cadence, ensuring

• Policy Development and Strategic Input
o Maintain and update internal documentation, including guidance on Reporting to Regulators, ServiceNow Ways of Working, and ServiceNow Reporting Guidance.
o Coordinate the Hub of Chairs project by working closely with Talent Consultant teams and Resourcing to support future frameworks, chair appointments, training, and case allocation.
o Drive continuous improvement by incorporating feedback from stakeholders into project enhancements.


Case Management Reporting, Data & Systems
• ServiceNow reporting
o Provide regular reports on Case Management activity held in ServiceNow to support scheduled activity including Insider Threat reporting, live warning reports to support Immigration team and salary review.
o Point of contact to support ad hoc reporting requests from Talent Consulting community in relation to active SL cases and performance management.
o Provide Monthly MI overview to show cases open, case traction (average days open) and escalate as required to CAT Manager.
o Monitor Due Date activity for Talent Support contingency team members.

• Absence reporting
o Work with TSS Case Manager Lead on monthly analysis of absence Bradford factor changes.
o Identify absence trends using Co-Pilot Agent and work with TSS Case Manager Lead to escalate as appropriate.
o Update monthly report with ServiceNow case look up and business comments.

Hub of Chairs
• Coordinate and evolve the Hub of Chairs
o a community of UKI leaders trained to chair ER appeal panels and complex cases.
o Support nomination, onboarding, training coordination, and allocation processes.
o Drive improvements to the framework, working with Talent Consultants and Resourcing to ensure consistent standards of chairing across the UKI business.


Case Management Support
• Case Management Support (for the CAT team)
o Prepare draft outcome letters related to Case Management activities, leveraging the team Co-Pilot Agent to support Case Managers.
o Provide administrative and operational support to ensure timely and consistent case progression.


Operational Delivery & Continuous Improvement
• Maintenance and updates to lists and content sites
o Maintain distribution and access lists (ER distribution list, CAG access lists)
o Maintain and update CAG transaction guides in collaboration with CAG custodians and HROSS.
o Conduct bi-annual access reviews (April and October), removing leavers, updating access lists, and engaging escalation contacts to review their respective areas.
o Identify ad hoc areas for improvement, including regular review of the teams’ sharepoint sites ; regular review of guidance documents to ensure they are up to date


Financial and operational controls
• Invoice Management and Financial Coordination
o Manage the full lifecycle of invoices, including tracking, escalation, and resolution including invoices relating to Outplacement Services
o Work with internal teams and vendors to resolve overdue or misrouted invoices.
o Coordinate with Finance teams (UK, Exec, GDS) to align on protocols and resolve cross-border payment issues

• Operational activity
o Vendor management
o Maintain BRIDGES (annual independence requirements with external vendors)

Knowledge and Skills Requirements:

• Exceptional attention to detail; able to produce senior level, regulator ready outputs.
• Strong communication skills and confidence engaging with senior stakeholders.
• Strong analytical ability with the confidence to handle sensitive data responsibly.
• High diligence and judgement, especially when working with confidential and regulatory material.
• Ability to manage competing priorities in a fast paced environment with minimal supervision, but using judgement to know when to ensure timely escalations
• Proficiency in Excel, PowerPoint, SharePoint, and ability to learn new technologies quickly.
• Process improvements skills using technology e.g. Power Platform skills
• Ability to communicate within the team to understand task instructions and know when to ask clarifying questions.
• Ability to be successful in a virtual team environment, working with limited supervision.

Job Requirements:

Education:

• Bachelor’s degree, preference will be given for those with HR specialisation
Experience:

• Minimum of 3 years of progressive experience in HR or related field at a coordinator or administrative level. We will also consider someone with general knowledge of not working directly in HR, but is very familiar with navigating and working within large organisations and providing operational and enablement support.
• Demonstrated experience supporting a team with a number of priorities.
• Working in international and diverse environments.
