Internal Tax Group Administrator

Role purpose:
The Tax Team Administrator will work to support the UK Internal Tax Group to manage the tax risk and compliance of EY’s own tax affairs in the UK and overseas. The role will involve undertaking the PMO/administrative requirements of the UK Internal Tax Group, to include;
Key Responsibilities
- Manage team mailbox, reply/distribute e-mails as necessary
- Maintain UK client and internal project trackers - monitoring progress and chasing for responses to emails
- Requesting certificates of residence (CORs) from HMRC as part of annual process. Ad hoc requests for other tax documents as required from HMRC (including, CORs, tax exemption forms, country specific forms)
- Share documents as requested from client teams, including CORs, Non-resident Partner lists, country specific forms, W-8/W-9 forms, other tax related documents
- Withholding Tax tracker, updating, requesting profit reports, analysis, arranging ledger transfers, liaising with the collections team to clear balances etc.
- US & Canada Data- tracking invoices with presence %
- Location reports- tracking UK firm’s activity overseas
- Maintaining Partner database UTR & NI numbers and issuing new joiner packs and members tax handbook to Partners
- Arranging for payment of invoices approved by team
- Maintain billing/budget records
- Looking after team statutory filing diary, sending out to team monthly and recording all completed tasks
- Help manage all other team internal timetables
- Attending meetings and taking minutes and/or meeting notes
- Planning and preparing slides for meetings/presentations
- General filing and file maintenance duties
- General database/internet research
- Arranging for the submission of documents internally and externally to the HMRC, Government Departments, other EY offices etc
- Completion of forms and vouchers etc where technical expertise is not required
- Photocopying etc as required
Skills and Attributes for success
- Able to take detailed and accurate meeting notes/minutes
- Attention to detail to deal with data tracking, inputting, filing
- Ability to manage your own time, organised and to manage the expectations of multiple stakeholders
- Team player with an enthusiastic attitude to work
- Willing to take on new challenges within the role
To qualify for the role you must have
- Proficient/advanced user of whole MS Office package, specifically word, excel and powerpoint
- Competent/Proficient user of e-mail (Outlook) and internet systems
