Job Description:

Guggenheim Securities Information Management (“GSIM”) is seeking an experienced Executive Assistant to support the Chief Information Officer and his leadership team.

The ideal candidate will be a highly organized, have excellent communication skills, a strong technical background, and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, professionalism, and the ability to work in a fast-paced environment.

Essential Job Functions

  • Provide administrative support to Chief Information Officer and his senior leadership team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist in the preparation of reports, presentations, and other documents as needed.
  • Assist with the recruiting and onboarding of new hires.
  • Act as a liaison between the IT department and other departments within the organization.
  • Manage and prioritize incoming communications, including emails, phone calls, and correspondence.
  • Maintain and organize files, records, and documentation related to IT projects and initiatives.
  • Coordinate and support IT-related events, such as conferences, training sessions, and team meetings.
  • Assist with budget tracking, budget management and expense reporting for the IT department.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Perform other administrative tasks and special projects as assigned by the IT executive team.

Preferred Qualifications

  • Proven experience as an executive assistant or in a similar administrative role, preferably within an IT department.
  • Strong technical skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT systems and software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with the ability to interact effectively with all levels of the organization.
  • Experience in managing departmental budgets and reporting.
  • Detail-oriented and able to multi-task in a fast-paced environment.
  • Hands-on and willing to roll up sleeves to perform all responsibilities needed to ensure success.

High level of discretion and confidentiality.

  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
  • Experience with project management tools and software.
  • Knowledge of IT terminology and processes.

Basic Qualifications

  • Bachelor’s degree in information technology, Business Administration, or a related field.
  • 7-10 years related administrative experience preferably in a Technology department.

Work Location

  • Currently, this role is expected to be in the ­­­­New York office Tuesday - Thursday.

Salary

·Annual base salary between $90,000 and $110,000.

The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
