What You Will Do:
The Administrative and Office Management Specialist provides comprehensive operational and administrative support to the Office of Electricity. This role ensures smooth day‑to‑day office functioning, supports senior leadership, and facilitates seamless coordination of office activities, meetings, and logistics. The Specialist serves as a central point of contact for internal and external stakeholders and contributes to efficient service delivery across the organization.
- Provides comprehensive administrative support by managing office operations, including handling correspondence, maintaining records and tracking systems, managing calendars and schedules for senior leadership, and coordinating the distribution and retrieval of documents.
- Ensures the efficient functioning of the office environment by maintaining processes, workflows, and administrative standards.
- Coordinates all logistical aspects of meetings, conferences, and special events. Responsibilities include scheduling, reserving rooms, setting up audiovisual and web‑conferencing equipment, preparing and distributing meeting materials, recording minutes, and arranging visitor access and escorts (including foreign nationals).
- Manages office logistics, including coordinating employee travel arrangements in compliance with federal regulations, processing travel authorizations and vouchers, assisting with office moves, and maintaining office supplies and equipment.
- Serves as the point of contact for facility‑related service calls and ensures that common areas are well‑maintained and functional.
- Serves as the primary point of contact for the office, greeting visitors, answering phones, directing inquiries, and ensuring a professional, customer‑focused office experience.
- Assists with employee in‑processing and out‑processing, provides technical support on office software and systems, and develops and maintains administrative procedures, handbooks, and contact lists to ensure consistent and high‑quality service delivery.
What You Will Need:
- A minimum of 5 years of experience providing administrative or operational support to federal, state, or local programs
- High School Diploma (Relevant experience may be substituted for formal education)
- Knowledge of DOE or other federal administrative policies and procedures
- Project management, organizational, and stakeholder coordination skills
- Proficiency in Microsoft Word, PowerPoint, Excel, and standard office technologies
- Strong written and verbal communication skills
- Experience supporting office operations, maintaining records, coordinating schedules, and ensuring high‑quality administrative service delivery
- Ability to provide basic technical support on office software and systems
- Must be able to OBTAIN and MAINTAIN a Federal or DoD "PUBLIC TRUST"; candidates must obtain approved adjudication of their PUBLIC TRUST prior to onboarding with Guidehouse
- Due to contract requirements, US Citizenship required
- This in‑person position requires up to 5 days on‑site at the Client's office
- This in‑person position is open to candidates who will reside within 50 miles of DC
What Would Be Nice To Have:
- Bachelor’s in communications, business administration, or a related field
- Experience coordinating federal travel, preparing meeting materials, and supporting senior leadership
- Experience with DOE operational systems, facility coordination, or administrative workflows
- PMP or other relevant administrative or project management certification
