Scope
The Office Manager is an integral member of the firm and is involved with every aspect of office management. Responsibilities include the daily management of the office, including the supervision of administrative staff. Directly supervises the activities of the physical property. Will assist various business heads in implementing a range of changes as they relate to the Company’s goal of nationalization. Ensures implementation of policies and procedures to increase the effectiveness and efficiency of the office. Responsible for ensuring good client/employee services are maintained while meeting or exceeding office standards.
Responsibilities
Provides supervision of facilities staff and the supports the overall operational goals of the office.
Oversees officewide budgets and supervises expenditures under approved budgets.
Ensures efficient management of the facilities and property; recommends additions and alterations to the physical property.
Provides necessary training tools for new employee orientations, ensuring that employees are familiar with office infrastructure policies and procedures. Manages the offboarding of departing employees.
Provides effective leadership to ensure high morale, development of systems and overall guidance and direction as needed.
Serves as a member of various committees to develop cost-savings practices and establish benchmark spending.
Evaluates staffing needs for facilities roles and assigns responsibilities to staff.
Provides on-the-job training and coaching to meet and/or exceed the employee’s development goals.
Evaluates facilities staff performance against corporate policies and procedures and takes appropriate corrective action when necessary.
Observes the administrative staff’s implementation of company policies and procedures and collaborates with their respective manager regarding methods to improve service.
Reports on performance issues and deficiencies to the HR Department and seeks advice on coaching methods to improve a situation or performance.
Ensure that all employees maintain a professional appearance in compliance with the company’s dress code.
Identifies, directs, and monitors the procurement and expense targets of all office needs for office supplies, forms, and other supporting materials and requests such materials on behalf of the office.
Responsible for processes related to the office purchasing credit card.
Reviews practices and reports and makes necessary adjustments to remain in compliance with the corporate accounting and financial requirements.
Participates in monthly conference calls and communicates pertinent information to other office managers and corporate heads. Distributes materials developed at regional level with other managers and ensures timely communication of all operational information and works with senior management to assure implementation.
Manages the activity committee and is responsible for various office social events.
Follows standard operating procedures for office opening and closing requirements, security, and office appearance. Follows up to ensure compliance.
Collaborates with the Corporate Real Estate team regarding space issues, office buildouts, and repairs.
Maintains accurate floor plans and assigns appropriate office space. Consults with COO’s and Group heads when assigning space and follows guidelines developed by the CRE.
General Requirements

Solid understanding of a wide range of office administration areas.
Must possess supervisory skills sufficient to guide facilities and administrative staff.

Good decision-making skills and the ability to function well under stress.
Possess administrative and organizational skills sufficient to plan and coordinate office workload.
Understanding and previous use of a windows-based computer system and applications such as Microsoft Word, Excel, and Outlook.
Five to seven years of relevant professional work experience, preferably in a finance or hospitality environment for the office manager role.
Salary Range
Houlihan Lokey is committed to providing its employees with an exciting career opportunity and competitive total compensation package, which may include other components such as discretionary incentive compensation. The firm’s good faith and reasonable estimate of the possible salary range for this role at the time of posting is:
$90,000.00-$130,000.00Actual salary at the time of hire may vary and may be above or below the range based on various factors, including, but not limited to, the candidate’s relevant qualifications, skills, and experience and the location where this position may be filled.
