Position Description:

HPS is seeking a detail-oriented and organized Interview Scheduling Coordinator to support our Talent Acquisition team. In this role, you will be responsible for coordinating and scheduling interviews between candidates and hiring managers, ensuring a smooth and efficient recruitment process. The ideal candidate will have excellent communication skills, a high level of attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:
Specific responsibilities will include but not be limited to the following:

  • Interview Coordination:
    • Schedule and confirm interviews with candidates, hiring managers, and interview panels across multiple time zones.
    • Coordinate logistics for in-person, virtual, and phone interviews, ensuring that all participants have the necessary details (e.g., time, location, Zoom links).
    • Coordinate logistics for candidate case studies as needed.
    • Communicate interview details to candidates and provide them with any necessary preparation materials.
  • Candidate Management:
    • Serve as the point of contact for candidates throughout the interview process, addressing any questions or concerns in a timely manner.
    • Ensure candidates have a positive interview experience by maintaining clear and professional communication.
  • Calendar Management:
    • Manage and optimize recruiters’ and hiring managers’ calendars to ensure the interview process runs smoothly and efficiently.
    • Resolve scheduling conflicts and proactively address potential issues to minimize delays.
  • Administrative Support:
    • Maintain accurate and up-to-date records of interview schedules and candidate information in the Applicant Tracking System (ATS) and various trackers.
    • Assist with preparing interview materials, such as agendas and feedback forms.
    • Support additional recruitment activities as needed, including coordinating candidate travel and expense reimbursements.
    • Work closely with HCM team members, hiring managers, and other stakeholders to ensure alignment on recruitment goals, priorities, and expectations.

Candidate Profile:

  • Bachelor's degree in Human Resources, Business Administration, or a related field is a plus.
  • 1-2 years of proven experience in an administrative, HR, or scheduling role, preferably in a fast-paced environment.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced setting.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and familiarity with Greenhouse Applicant Tracking System (ATS) and calendar management tools.
  • Strong interpersonal skills and a customer service-oriented mindset.
