Job Overview

We’re looking for a highly organized, detail-oriented, and proactive Office Coordinator to join our team and play a key role in our daily success.

Responsibilities

As our Office Administrator, you’ll help create an organized, positive, and productive office environment. Every day will bring something new, and your attention to detail and resourcefulness will help our team stay focused on what they do best.

  • Clerical Support:
    • Perform administrative tasks such as data entry, printing and binding drawing sets, scanning documents, and answering phones in a professional and friendly manner.
  • Workspace & Office Organization:
    • Maintain clean and welcoming common areas, including conference rooms, guest areas, and supply spaces.
    • Assist in preparing offices for new hires, visitors, and project team meetings to ensure everyone feels supported from day one.
  • Inventory & Supply Management:
    • Monitor and replenish office supplies and snacks, ensuring team needs are met in a timely, cost-effective manner.
  • Field Equipment & Asset Tracking:
    • Maintain detailed records of field equipment, tracking its condition, availability, and location.
    • Coordinate basic troubleshooting or repairs to keep tools and equipment field-ready.
  • Office Equipment Maintenance:
    • Oversee the basic upkeep of office machines such as printers, copiers, and scanners, arranging service calls as needed to minimize downtime.
  • Team Support:
    • Provide general support to our engineering and administrative teams by pitching in on special projects and office needs.
    • Foster a sense of community and cohesion across the office by being a go-to resource.

Requirements and Qualifications

  • Education – Minimum of a High School Diploma. Associates or some college course work preferred.
  • Organized and detail-oriented – you notice the little things and take pride in keeping everything in its place.
  • A team player – you enjoy supporting others and understand how critical the behind-the-scenes work is to overall success.
  • Proactive and self-motivated – you don’t wait to be asked; you anticipate needs and act.
