We are seeking a Program Assistant who will provide basic administrative and operational support for a specific program within a department. The Program Assistant supports the planning and daily operations of the program.

Specific Duties & Responsibilities

  • Provide support for outreach activities and internal events; assist with preparation of materials, set-up and breakdown, and participate as needed at events and activities.
  • Assist with data entry, report production, and basic analysis of program results.
  • Assist with development and distribution of program communications.
  • Respond to or elevate questions and provide customer service through email and by phone.
  • Contact service personnel or other resources for program needs.
  • Monitor supply inventory and order supplies.
  • Operate and coordinate the servicing of office equipment.
  • Other duties as assigned.

In Addition to the Duties Listed Above

  • This role will assist with scheduling, meeting coordination, document organization, communications tracking, database management, and logistical support for scientific and public health webinars, workshops, working groups, and global stakeholder engagement activities.
  • The ideal candidate is detail-oriented, adaptable, professional in written communication, and comfortable working in a fast-paced international environment.

The Program Assistant will,

  • Support preparation of reports, slide decks, and briefing materials
  • Organize and maintain digital files, contact databases, and shared documents
  • Provide general operational support to leadership and program teams
  • Assist with tracking project timelines and deliverables
  • Support with reimbursements and events tasks as needed
  • Provide back-up documentation and explanation in response to audit requests


Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Six months of related experience.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree.
  • Experience supporting scientific, academic, nonprofit, or international organizations; experience on supporting laboratory research.

Technical Qualifications & Specialized Certifications

  • Highly proficient with Microsoft Office programs including Outlook, Word, Excel and PowerPoint.
