Job Description

As an Executive Administrative Assistant, you will perform diverse administrative tasks and functions for the Primary Credit Loan Origination team in Global Credit Trading. The role requires attention to detail, a proactive approach to problem solving, and the ability to work in a fast-paced and deadline-driven work environment. You will need to demonstrate an ownership approach to all tasks, initiative and confidence to complete projects with limited supervision. You will also rely on excellent communication skills and represent your group with a high degree of professionalism.

This role requires five days in the office (Mon-Fri). Your hours will be 8am to 5pm, with the flexibility to work additional hours to meet business needs.

Job responsibilities:

  • Calendar Management
  • Process a high volume of invoices and expenses, with a focus on accuracy and timeliness. Act as a subject matter expert for policies and procedures
  • Arrange and monitor multifaceted domestic and international travel
  • Help coordinate meeting and event logistics.
  • Produce high quality emails and messages to individuals at all levels of the organization
  • Assist with the onboarding of new team members, which includes monitoring desk setup and system access
  • Work cooperatively with the administrative assistants team, in positive partnership to support each other smoothly
  • Assist with work overflow and special projects, as requested
  • Handle regular activities without prompting, and advise in advance of issues or delays

Required qualifications, capabilities, and skills

  • At least five years of administrative experience
  • Strong interpersonal, written, and oral communication skills
  • Enthusiastic, self-motivated, calm and effective when working under pressure
  • Exercise independent judgment in a variety of situations
  • Advanced ability to organize
  • Tact and good judgment in confidential situations, and proven experience interacting with senior management
  • Partner with the assistants team to ensure continuity of coverage for their respective groups
  • Motivated by a collaborative environment and willing to go the extra mile
  • Strong proficiency in Microsoft Office

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
