As a Corporate Meeting Coordinator within the Conference and Client Center team, you play a vital role in delivering outstanding service and hospitality to employees and clients. You will coordinate meetings and events, acting as the single point of contact for clients and collaborating with internal and external partners to ensure seamless execution. You will proactively address challenges, optimize space utilization, and support the firm’s drive for continuous improvement. Your professionalism, flexibility, and attention to detail will help us achieve our annual priorities and maintain our reputation for excellence.
Job responsibilities
- Coordinate and execute meetings and events within designated sites, collaborating with catering, audio-visual, security, and facilities teams.
- Deliver personalized, professional customer service to clients, ensuring a positive experience.
- Adhere to established operational standards for the Conference Center.
- Proactively address daily challenges and escalate unresolved space issues to management.
- Optimize meeting space utilization to achieve yearly goals.
- Conduct pre- and post-conference calls/meetings to manage event details.
- Prepare daily operational reports and key performance indicators (KPIs).
- Manage reservations and event logistics using the Event Management System (EMS).
- Monitor quoting and invoicing throughout the meeting planning process to ensure billing accuracy.
- Support implementation of strategies to increase room utilization and deliver annual priorities.
- Collaborate with AV, IT, Security, Facilities, Culinary, and vendor teams for seamless event delivery.
Required qualifications, capabilities, and skills
- Bachelor’s degree required.
- Three years of experience in hospitality, event planning, or food and beverage service with high-touch customer service.
- Excellent interpersonal and communication skills, engaging professionally and warmly with clients and colleagues.
- Demonstrates personal integrity, effective time management, and high visibility in areas of responsibility.
- Ability to manage guest experiences and expectations with tact and diplomacy.
- Highly organized and detail-oriented, able to multi-task and prioritize effectively.
- Strong understanding of conference center food and beverage menus.
- Working knowledge of audio-visual systems, event layouts, scheduling, and vendor management.
- Flexibility to thrive in a fast-paced and diverse environment.
- Proficiency in MS Office;
- Willingness to work flexible shifts covering conference center hours and locations.
Preferred qualifications, capabilities, and skills
- Experience in 5-star hotels or luxury hospitality environments. Familiarity with EMS booking system and Social Tables is a plus.
- Advanced knowledge of event management software and reporting tools.
- Demonstrated ability to implement service improvements and support sustainability initiatives.
- Proven leadership skills in team settings and cross-functional collaboration.
- Experience managing complex events with multiple stakeholders.
- Strong problem-solving skills and ability to adapt to changing priorities.
- Commitment to maintaining a polished, professional image and personal presentation.
