This role sits within the Corporate Sector Finance & Business Management (F&BM) organization and provides dedicated support to the Chief Financial Officer for Legal & Audit and several members of the F&BM team. The position operates in a fast-paced, control-oriented environment and requires strong organizational discipline, sound judgment, and close partnership with senior stakeholders across Legal, Finance, and Corporate functions.

The Senior Executive Assistant role is critical to the effective operation of senior leadership, requiring consistent attention to detail, proactive issue management, and the ability to manage multiple priorities simultaneously. The successful candidate will demonstrate professionalism, discretion, and accountability while delivering high-quality administrative support aligned with firm standards and business objectives.

Job responsibilities

  • Maintain complex and highly detailed calendars for senior executives, ensuring alignment with business priorities
  • Screen incoming calls and correspondence, exercising appropriate judgment and discretion when handling confidential information
  • Coordinate logistics for internal and external meetings, including preparation of materials and follow-up actions
  • Arrange and oversee complex domestic and international travel in accordance with firm policies
  • Support internal and external events, including coordination of catering, transportation, and logistics
  • Process invoices and T&E expense reports for team members, ensuring compliance with firm policies and timelines
  • Partner with management and technology teams to support onboarding and offboarding, including equipment and system access requests
  • Draft and deliver clear, concise, and professional communications to stakeholders across all levels of the organization
  • Maintain departmental documentation, including organization charts and executive bios
  • Proactively manage routine responsibilities with minimal supervision, escalating risks or delays as appropriate
  • Assist with preparation and editing of spreadsheets, presentations, and meeting materials, including printing and binding as needed

Required qualifications, capabilities, and skills

  • Minimum of five years of relevant administrative or executive assistant experience
  • Demonstrated ability to manage competing priorities in a deadline-driven environment
  • Proven discretion and sound judgment in handling confidential and sensitive information
  • Strong interpersonal, written, and verbal communication skills
  • Advanced proficiency in Microsoft Office applications
  • Experience supporting complex calendar management and senior executive engagement

Preferred qualifications, capabilities, and skills

  • Experience supporting Managing Directors or equivalent senior executives
  • Prior experience within a financial services, legal, or corporate environment
  • College degree is a plus

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
