As an Administrative Assistant in the Commercial & Investment Bank, you will play a key role in supporting executives and their teams with confidential, high-impact administrative functions. You will coordinate with other assistants, manage complex calendars and meetings, handle expenses and invoices (Concur), phone coverage, and correspondence. Adaptability, strong organizational skills, and the ability to prioritize multiple tasks are essential. You will exercise independent judgment and escalate issues as needed, ensuring alignment with department goals.

Job responsibilities

  • Provide comprehensive administrative support to senior executives and teams, including complex calendar management, meeting and event logistics, travel arrangements, and expense processing (Concur preferred)
  • Draft, refine, and summarize communications (emails, agendas, minutes, action items) using approved productivity and AI tools, ensuring accuracy and confidentiality
  • Maintain records and documentation in line with regulatory, compliance, and internal standards; act as a subject matter expert for relevant policies and procedures
  • Support onboarding/offboarding, access requests, equipment logistics, and team announcements in partnership with internal teams
  • Manage high volumes of correspondence and visitor support with professionalism and discretion
  • Collaborate with Compliance, Operations, and corporate functions to ensure adherence to controls, approvals, and record-retention requirements
  • Assist with overflow, special projects, and backup coverage for other assistants; contribute to a high-performing, service-oriented team
  • Work in-office five days per week, with flexibility to support urgent matters outside business hours
  • Additional administrative duties as assigned

Required qualifications, capabilities, and skills

  • Minimum 4 years of administrative experience.
  • Bachelor’s degree.
  • Advanced Microsoft Office skills, including proficiency with Outlook, Excel, PowerPoint, and Word, and openness to learning new collaboration and AI tools.
  • Strong written and verbal communication skills; business-level proficiency in English and Mandarin required.
  • Outstanding attention to detail, organizational skills, professionalism, discretion, and judgment.
  • Team-first mindset, strong partnership skills, and ability to collaborate in a fast-paced, service-oriented environment.
  • Flexible, reliable, and able to prioritize multiple tasks under pressure.
  • Strong analytical, problem-solving, and critical thinking skills.

Preferred qualifications, capabilities, and skills

  • Administrative experience in banking or investment banking, supporting senior executives in fast-paced, confidential environments.
  • Project management or administrative certification is a plus.
  • Proficiency in Cantonese and ability to read Chinese materials.
  • Familiarity with AI-enabled productivity tools.
  • Demonstrated curiosity and openness to new ways of working.
