CIB Business Support Management is a dedicated, specialized support function leveraged by the CIB to streamline internal operations, strengthen controls, reduce bureaucracy, and facilitate partnerships with various subject matter expert organizations (e.g., Technology, Real Estate, HR, etc.)
As a Senior Admin Analyst in Deal Concierge Team within Business Support Management, you will deliver executive hybrid support, manage projects, and drive operational excellence in a dynamic business environment. In this capacity, you will be providing comprehensive support to the deals team and global partners driving operational success. You will manage administrative and operational tasks during transaction high intensity period and time-sensitive deal activity process, working in close concert with the deal teams for a well-coordinated execution of tasks.
Job responsibilities:
- Deliver comprehensive executive and administrative support to deal teams throughout the life of sell-side transactions for all non-licensed activities
- Oversee local control and reporting activities for assigned line of business
- Align executive assistant support with business priorities and drive operational improvements with use of technology for enhanced efficiency (LLM, Copilot, MS teams etc.)
- Govern core business processes, ensuring compliance with key policies and practices
- Build and maintain strong client relationships, delivering consistent support
- Collaborate with other functional groups to ensure consistent service delivery
- Partner with senior leaders to gather feedback and support administrative needs
- Advocate for administrative staff, driving talent and career management for the pod
Collaborate with deal teams and global partners to utilize AI for data analysis, reporting, and process optimization, ensuring well-coordinated execution of tasks
Required qualifications, capabilities, and skills:
- Minimum 5-year experience in executive administrative support or operational management
Exceptional partnership and interpersonal skills for influencing and building relationships
- Proactive mindset in adopting emerging AI solutions for process efficiency, ensuring compliance, and risk mitigation in a dynamic business environment
Strong written and verbal communication skills across multiple audiences
Ability to make independent decisions and work with minimal supervision
Ability to manage multiple tasks and adapt to changing priorities
- Strong control orientation with a focus on compliance, risk mitigation, and a commitment to quality and attention to detail
- Proficiency in Microsoft Office Suite and ability to learn new technologies
- Self-starter with proactive mindset and ownership of agenda
- Willingness to work onsite during core US hours
Preferred qualifications, capabilities, and skills:
- Experience providing administrative support within a financial firm or finance or operations background
- Experience promoting operational efficiency and process improvements
- Familiarity with global business environments and cross-functional collaboration
- Strong client relationship management skills
