Operations - Reference Data Analyst (Fixed Term 12 Months Contract)

As a Reference Data Analyst within Operations team, you manage the lifecycle of client-level records and operational documents to ensure they are complete, well-organized, and easy to retrieve. You will label, index, and maintain documentation so teams can find the right information at the right time, while meeting record retention and control expectations. You will partner with business and operations stakeholders to validate submissions, resolve gaps, and improve documentation workflows. You will also support audits and inquiries by producing clear evidence and analysis. This role is intended to be for an initial term of 12 months only, however, subject to business needs, the contract may be extended or converted to permanent employment.
You will work closely with stakeholders who depend on accurate client documentation to run daily operations and meet control requirements. The work blends structured processing with problem-solving, including identifying root causes of documentation issues and improving the process to prevent repeat errors. You will contribute to a framework that promotes collaboration through clear workflows and disciplined content management.
Job responsibilities
- Consolidate and maintain client-level document inventories across multiple business areas.
- Organize, label, index, and file documents using defined classification and filing standards.
- Execute records lifecycle activities, including storage, retention, retrieval, and documented disposal.
- Review submitted records for accuracy, completeness, and adherence to documented procedures.
- Partner with Operations and business stakeholders to clarify requirements and resolve documentation gaps.
- Support audit, compliance, and regulatory inquiries by providing documentation, analysis, and timely responses.
- Design and improve filing schemes, workflows, and controls to strengthen accessibility and consistency.
- Challenge inefficient practices by identifying issues, proposing improvements, and tracking outcomes.
- Maintain and update standard operating procedures to reflect current processes and controls.
- Prepare management information reports and status updates for senior stakeholders.
- Escalate risks, exceptions, and aging items with clear options and recommended next steps.
Required qualifications, capabilities, and skills
- Bachelor’s degree
- Excellent English communication skills (reading, writing, and speaking)
- Proficiency in Microsoft Excel and document collaboration tools (i.e. SharePoint, Visio, etc.)
- Demonstrated attention to detail and ability to follow defined procedures consistently
- Ability to analyze information, identify exceptions, and document clear findings and actions
- Strong organizational skills with the ability to manage high-volume, time-sensitive work
- Ability to collaborate effectively across teams and handle sensitive information with discretion
- Ability to move and lift boxed documents or files up to 25 pounds, with or without reasonable accommodation
Preferred qualifications, capabilities, and skills
- Bachelor’s degree will be an advantage
- 1 year of experience in financial services environment will be beneficial
- Previous experiences related to or a deep understanding of local regulations on records management requirement would be an advantage
