As a Reference Data Specialist within Digital Documentation Services, you assess client information and assemble compliant documentation packages that enable smooth onboarding. You validate and authenticate documents against regulatory and policy requirements while maintaining complete audit trails. You partner with implementation, operations, legal, and business stakeholders to resolve queries, manage escalations, and improve service delivery

Job Responsibilities:

  • Assess client-provided information and compile compliant documentation packages for implementation and onboarding activities
  • Validate documents against applicable policies, regulatory requirements, and onboarding standards
  • Perform authentication controls including signature verification and outbound callbacks where required
  • Review existing documents in internal repositories to support requests and reduce rework
  • Index, store, retrieve, and maintain documents in approved document repositories to support ongoing servicing
  • Administer controlled updates to client-facing legal documentation templates and related change requests
  • Process and update client authorization mandates and related data in designated systems of record
  • Monitor shared inboxes and workflow queues, track approvals and deferred items, and escalate aged or blocked requests
  • Communicate clearly with internal teams and external clients by email and phone to resolve documentation gaps and discrepancies
  • Maintain accurate records to support audits, controls testing, and compliance reviews
  • Produce management reporting on volumes, turnaround times, and service delivery metrics; communicate performance against internal service level commitments

Required qualifications, skills, and capabilities

  • Bachelor’s degree in business, finance, or a related field
  • 2+ years of experience in operations, documentation processing, or client onboarding within financial services
  • Working knowledge of client onboarding documentation requirements and relevant KYC/AML controls
  • Experience supporting payments onboarding activities, including legal agreements and account opening documentation
  • Proficiency with Microsoft Office applications including Outlook, Excel, Word, and PowerPoint
  • Experience using document management repositories and workflow or queue management tools
  • Knowledge of document authentication controls, including signature verification and validation protocols
  • Strong attention to detail with the ability to identify documentation discrepancies and gaps
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Strong written and verbal communication skills to engage internal stakeholders and external clients
  • Understanding of regulatory compliance requirements related to client documentation and recordkeeping

Preferred qualifications, skills, and capabilities:

  • Master of Business Administration degree
  • Experience supporting documentation in the Europe, Middle East, and Africa region, including awareness of regional regulatory considerations
  • Experience managing legal document templates, controlled changes, and version control practices
  • Experience driving continuous improvement initiatives to simplify documentation workflows and reduce turnaround times
