Overview
Kimley-Horn's Lake Nona, Florida (FL) office is seeking an organized and proactive Senior Project Coordinator who is able to provide exempt-level administrative, operational, and strategic support a large, dynamic million engineering team that services a diverse set of clients both locally and across the country. The role will serve as the primary business-support resource for the senior engineering leader, ensuring seamless coordination across accounting, production, client engagement, and administrative functions.

Responsibilities
- Financial Project Oversight: Collaborate with the accounting team to monitor project budgets, ensure financial compliance, and maintain projects in good financial standing.
- Production Coordination: Work closely with the production team to forecast workload demands, plan project staffing, and ensure appropriate resource allocation.
- Project Tracking & Deadline Management: Oversee tracking of multiple projects, manage timelines, deliverables, and proactively communicate status updates to internal stakeholders and clients.
- Client Communication: Serve as a point of contact for client communications, schedule/coordinate meetings, and facilitate follow-ups as required.
- Senior Administrative Support: Keep the senior engineering leader organized by managing calendars, making travel arrangements, compiling and submitting expenses, prioritizing tasks, and handling confidential information with discretion.
Qualifications
- Bachelor’s degree in business administration preferred.
- Minimum 10 years of experience in office management or business operations, preferably supporting engineering, technical teams, or other professional services teams.
- Strong financial acumen and experience working with accounting teams on project budgets.
- Excellent organizational and multitasking abilities, with proven experience managing multiple projects and deadlines simultaneously.
- Exceptional interpersonal and communication skills, with the ability to interact effectively with senior leaders, clients, and cross-functional teams.
- High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams), project management and scheduling software.
- Demonstrated discretion and professionalism in handling confidential information.
- Proactive, resourceful, and solution-oriented approach to problem-solving client, scheduling, and business challenges.
- Ability to anticipate needs and act with urgency and accuracy.
- Strong communication and team collaboration skills.
- Customer-focused mindset with a bias for action and a commitment to high-quality service.
