Staffing Administrator - Supporting London

Location: Delhi / Poland

About The Role

  • We are looking for a highly organised and proactive Staffing Administrator to support the day-to-day operation of staffing for our London consulting team.
  • The Staffing Administrator will play an important role in ensuring that staffing information is accurate and up to date, supporting the allocation process, coordinating staffing-related activity and providing administrative support to the Staffing team.
  • This is a fast-paced role requiring excellent organisation, attention to detail and the ability to manage multiple priorities. The successful candidate will work closely with the Staffing team, Consultants, Managers, Partners and the wider People team.

Key Responsibilities

Staffing administration and coordination

  • Support the day-to-day administration of the London staffing and allocation process.
  • Maintain accurate and up-to-date records of consultant allocations, availability, project dates and upcoming staffing requirements within SAP.
  • Process staffing changes promptly and ensure relevant systems and trackers reflect the latest information.
  • Support the Staffing team with booking individuals onto projects and recording extensions, roll-offs and other allocation changes.
  • Track upcoming project end dates and identify individuals expected to become available.
  • Support the coordination of staffing requests, ensuring the team has the information required to make allocation decisions.
  • Help coordinate cross-office and international staffing arrangements where required.

Reporting and data management

  • Maintain staffing trackers and other tools used to manage capacity and allocations.
  • Monitor data quality and proactively identify missing, outdated or inconsistent information.
  • Maintain accurate records of staffing decisions and historical allocations to support future planning.

Meetings and communication

  • Record and follow up on agreed staffing actions.
  • Respond to routine staffing queries from Consultants and case teams, escalating more complex queries to the appropriate member of the Staffing team.
  • Communicate confirmed staffing decisions and changes clearly and promptly to relevant stakeholders through mailboxes.

People and process support

  • Support the Staffing team in booking into SAP upcoming leave, training, transfers and other commitments that impact consultant availability.
  • Support the administration of staffing-related initiatives and programmes.
  • Maintain process documentation and guidance to ensure staffing processes are clear and consistently applied.
  • Identify opportunities to simplify or improve administrative processes within the Staffing function.
  • Provide broader administrative support to the Staffing and People teams where required.

Skills And Experience

  • Previous experience in an administrative, coordination, HR, resourcing or professional services environment would be beneficial.
  • Strong Microsoft Excel skills and confidence working with spreadsheets and large amounts of information.
  • Strong Microsoft Office skills, including Outlook and PowerPoint.
  • Experience working with SAP or other HR, resourcing or workforce management systems would be advantageous.
  • Previous experience within consulting or another professional services environment would be helpful but is not essential.

What Success Looks Like

  • A successful Staffing Administrator will ensure that the Staffing team has accurate, timely information to make effective allocation decisions. They will develop a strong understanding of the London consulting team, become a reliable point of contact for staffing administration and help ensure that staffing processes run efficiently and consistently.
  • Over time, we would expect the role holder to take increasing ownership of core staffing processes and identify opportunities to make the team's ways of working simpler, more efficient and more scalable.
