Description and Requirements
Job Summary: The Executive Administrative Assistant provides high-level administrative support to the Vice President and Chief Financial Officer of the Lenovo International Sales Organization (ISO). This role involves managing schedules, handling communication, preparing travel, scheduling meetings and performing various clerical tasks. The assistant may also assist with support and communication across the ISO finance organization and global workforce within.
Responsibilities:
- Maintain and update executives’ calendar with a focus on optimizing his/her time and ensure they are aware of their schedule and upcoming commitments.
- Act as the point of contact between executives and internal/external clients.
- Organize and coordinate logistics for both in person and virtual meetings, including invitations, catering, equipment setup, etc.
- Draft, review, and send communications on behalf of executives.
- Handle confidential information with discretion and professionalism.
- Arrange travel, accommodations, itineraries, and all trip logistics for executive, including expense report submission.
- Assist with special projects and event planning and execution.
- Provide excellent customer service and address any issues or concerns promptly.
- Assist with budget tracking and financial reporting, inventory management, ordering and expense payment, shipping, data entry, record keeping, and other tasks as requested.
Basic Requirements:
- High School Diploma or equivalent
- 3+ years supporting director level or higher at a large multinational corporation
- Strong written communication skills
- High level skills with various software programs such as Microsoft Teams, Outlook, Word, PowerPoint, Excel, etc.
- Flexibility to work some evening and weekend hours when required
- Must reside in the greater Chicago area and able to work a minimum of 3 days per week at our Motorola HQ at the historical Merchandise Mart located in downtown Chicago.
