Description and Requirements
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership within a dynamic, fast-paced technology environment. This role requires strong judgment, exceptional communication skills, and the ability to manage competing priorities while maintaining a high level of professionalism and confidentiality.
Key Responsibilities:
- Manage complex and dynamic calendars, including scheduling meetings across time zones and prioritizing executive commitments
- Coordinate domestic and international travel, including itineraries, logistics, and expense reporting
- Prepare, review, and edit communications, presentations, and reports for internal and external audiences
- Act as a liaison between the executive and internal/external stakeholders, ensuring effective communication and follow-through
- Support planning and execution of team meetings, leadership events, and offsites
- Track action items, deadlines, and key deliverables to ensure timely completion
- Handle sensitive and confidential information with discretion
- Assist with budget tracking, purchase orders, and expense management
- Drive operational efficiency by identifying process improvements and implementing solutions
- Provide backup support to other administrative staff as needed
Basic Qualifications:
- 4+ years of experience supporting senior leaders (Director level or above)
- Proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint)
Preferred Qualifications:
- Experience supporting executives in a large, global technology organization
- Experience coordinating large-scale meetings or events (e.g., all-hands, leadership offsites)
- Familiarity with expense management tools (e.g., Concur) and procurement processes
- Strong problem-solving skills and a proactive mindset
- Ability to anticipate executive needs and act with urgency
- Proven ability to manage complex calendars and shifting priorities
- Strong organizational and time management skills with high attention to detail
- Excellent written and verbal communication skills
- Ability to work independently and exercise sound judgment
- High level of integrity and professionalism in handling confidential information
This position requires candidates to be based near our headquarters in Morrisville, NC and adhere to a 3:2 hybrid work schedule. This means three days on-site for in-person collaboration and two days remote each week, ensuring flexibility while maintaining strong team engagement.
