We are seeking a dynamic and highly organized Executive Assistant to provide exceptional support to our leadership team. In this role, you will take ownership of coordinating, optimizing and monitoring very complex agendas while ensuring seamless operations and timely delivery.

Your Impact

You will work with your assigned Partners as an Executive Assistant to organize and leverage their time effectively, manage their complex schedules, and coordinate their travel logistics.
Agenda and Calendar Management: You will manage complex calendars for assigned leaders, ensuring schedules are optimized and priorities are effectively addressed. This will include coordinating travel arrangements, scheduling and managing client and internal meetings, virtual sessions, and in-person events, with meticulous attention to detail and flawless execution.
Collaboration & Workflow Optimization: You will act as a central point of contact, facilitating smooth communication and collaboration between clients, administrative contacts, and internal teams. You will proactively identify opportunities to streamline workflows, seek assistance when needed, and support colleagues to ensure operational efficiency.
Communication Management: You will be responsible for overseeing all communications with professionalism and discretion, building and maintaining strong relationships with both internal and external stakeholders.
Team Collaboration: You will work closely with fellow executive assistants to provide seamless backup coverage and ensure continuity of support across the team.

Your Growth

You will play a key role as a member of our high-performing Milan Executive Assistants team, directly supporting and collaborating with the Milan Executive Assistant Lead. In this role, you will have the opportunity to work closely with senior leaders, contributing to their success and the overall impact of the organization.

Your qualifications and skills

  • 5 year experience in a similar role, ideally within consulting, international, or legal organizations, demonstrating a proven ability to excel in high-performing environments
  • Bachelor’s degree required
  • Demonstrated expertise in supporting multiple senior stakeholders simultaneously, with the ability to navigate complex priorities effectively
  • Native Italian speaker and fluent in English, both written and verbal, enabling seamless communication across diverse audiences
  • Exceptional organizational capabilities, with meticulous attention to detail and a commitment to delivering excellence
  • Multitasking & Prioritization: Proven ability to manage competing priorities, multitask efficiently, and meet deadlines without compromising quality
  • Accountability & Ownership: A strong track record of taking full responsibility for tasks and delivering high-quality outcomes with professionalism and reliability
  • Professional Communication: A polished and professional telephone presence, paired with a customer-focused mindset and a commitment to fostering positive relationships
  • Strong email and calendaring skills (Outlook proficiency preferred); proficiency in PowerPoint, Word, and Excel Ability to anticipate and meet the needs of colleagues supported
