Your Impact

As an Office Services Team Leader, you will be at the heart of our operations, balancing your time between managing the Sorting Office & Reprographics (40%) and broader Office Services and project coordination (60%).
You will oversee a team of three full-time employees and one part-time employee in the Mailroom, as well as one full-time employee in Reprographics. You will provide coaching, mentoring, and professional development opportunities for team members, including conducting year-end reviews.
You will manage the day-to-day operations of the Mailroom, including capacity planning and ensuring adequate cover by Porters. You will coordinate holiday and sickness cover to maintain seamless operations.
You will ensure Mailroom & Repro colleagues are maintaining Standard Operating Procedures (SOPs) and submitting recharges accurately. You will collaborate with the team to review and refine processes.
You will identify potential risks in Mailroom and Reprographics operations and escalate issues as needed.
You will identify opportunities for service improvements, cost savings, and operational efficiencies and suggest them to the Office Services Manager. You will work with the Mailroom and Reprographics teams to implement any agreed changes.
You will gather and analyze data to create monthly dashboards for Mailroom and Reprographics performance. You will collaborate with the Office Services Manager and Head of Facilities to identify service gaps and propose practical solutions.
You will take ownership of the Mailroom package system and Repro Print Portal. You will work with the Head of Facilities to scale and further develop these systems.
You will support the delivery of the overall office service strategy as defined by the Head of Facilities and London office leadership.
You will act as a Project Coordinator for assigned initiatives and take ownership of other smaller projects.
You will oversee the management of offsite storage facilities.
You will provide administrative support to the team, including managing External Workers, processing invoices, and onboarding new team members.
You will undertake training in Computer-Aided Design (CAD) to support Office Services as needed.
You will manage Service Lines as required, ensuring smooth operations and adherence to standards.
You will provide coverage for the Senior Office Services Co-Ordinator when necessary. You will participate in a scheduled rotation to address urgent issues that arise outside of normal working hours.
You will attend team meetings with ideas for improvements or changes, discuss them with the team, and implement agreed-upon solutions.
You will draft and distribute communications to Service Partners and the wider office, as appropriate.
Your role requires a balance of operational management, strategic thinking, and hands-on involvement in both the Sorting Office & Reprographics and broader Office Services Team. Your strong leadership skills, focus on continuous improvement, and the ability to manage both people and processes effectively will be key to your success.
