A Day in the Life
In this highly visible role, you will provide comprehensive administrative and project coordination support to the Vice President of CEO Communications & Operations and their team. You will serve as a trusted partner, ensuring seamless operations, effective communication, and efficient execution of priorities. This includes managing complex scheduling, preparing executive materials, organizing meetings and events, and supporting departmental projects. The role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and can balance multiple priorities with discretion and professionalism.

Key Responsibilities
Executive & Team Support
Coordinate and manage the VP’s calendar, meetings, travel, and internal communications.
Act as the point of contact for internal and external stakeholders, ensuring timely follow-up and effective communication.
Attend business meetings, take notes, and provide clear summaries with action items, and manage agreed upon follow up.
Assist in the creation of leader-facing briefs, including drafting bios, refining document formatting, and ensuring all materials align with established brand standards.
Adept at researching topics to obtain needed information to assist team.
Create/maintain a robust network of internal partners to quickly identify issues and provide resolution.
Project Coordination
Provide operational and project support to the CEO Communications & Operations team.
Manage key internal operating mechanisms for the team – managing agendas for key staff meetings, coordinating report creation, ensuring critical team deadlines are met, and ensuring team is aware of status of critical initiatives.
Establish and monitor project timelines, deliverables, and budgets, escalating issues as needed.
Coordinate training sessions, documentation, and record-keeping.
Support vendor management, purchasing processes, and expense reporting.
Event & Meeting Management
Organize and execute team meetings and assist with large-scale events such as town halls.
Manage meeting logistics including catering, technology setup, and follow-up documentation.
Collaborate with cross-functional teams and other Executive Assistants / Project Coordinators to ensure seamless execution.
Operational Excellence
Maintain efficient filing systems, thorough document retention, and departmental processes.
Handle confidential information with the utmost discretion.
Proactively anticipate the needs of the VP and team, resolving issues before they arise.
Qualifications
Minimum Requirements:
High School Diploma or GED.
6+ years of relevant experience, with at least 2 years supporting senior leaders.
Preferred Skills:
Excellent organizational and time management skills; able to prioritize competing demands
Proven ability to work independently, exercise discretion, and manage confidential information
Strong results orientation and bias for action, including a high degree of initiative and self-motivation in identifying and satisfying unmet needs
Strong communication skills (written and verbal)
Strong attention to detail, accuracy, and confidentiality
Experience with calendar and travel planning
Project management experience and ability to track deliverables across multiple stakeholders
Flexible team player who thrives in a fast-paced, high-stakes environment
Anticipates well and is planful/predictive
Tactful, exercises independent judgment and discretion – professional demeanor
Proficient with Microsoft Office Suite and able to learn new systems quickly.
Experience with expense reporting (e.g., Concur) and purchase order creation
Experience with electronic meeting coordination (video conference, phone, and live-online)
