A Day in the Life

The Senior Project Coordinator with extensive experience managing projects end-to-end while providing critical operational and administrative support within a PMO environment. Proven ability to maintain strong project hygiene through accurate documentation, reporting, and consistent use of portfolio management tools. Highly skilled in coordinating cross-functional stakeholders, facilitating meetings, and delivering executive-ready insights to support informed decision-making and portfolio success.

Responsibilities may include the following and other duties may be assigned:

  • Manage assigned projects end-to-end by coordinating schedules, deliverables, dependencies, and stakeholder communications, while proactively escalating risks and issues.
  • Develop, maintain, and governance project documentation (project plans, RAID logs, status reports, decision logs, and action trackers) to support effective decision-making.
  • Own back-office project operations across multiple Project and Portfolio Managers, ensuring accurate PMO tool data, project metadata, milestones, resourcing, and financial inputs.
  • Prepare and deliver clear weekly and monthly leadership reports summarizing progress, milestones, risks, issues, and upcoming activities.
  • Coordinate and facilitate cross-functional meetings, including agendas, pre-reads, minutes, and action-item follow-up to ensure alignment and execution.

Required Knowledge and Experience:

  • Bachelor's Degree
  • Three to five years of experience in project coordination and/or project management within a PMO or matrixed organizational environment
  • Hands-on experience with project and portfolio management tools (e.g., Planisware) and advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Teams)
  • Strong documentation, reporting, and meeting facilitation skills, with the ability to deliver concise, executive-ready summaries
  • Excellent communication and stakeholder management skills, with comfort operating across functions and organizational levels
