A Day in the Life

The Administrative Assistant III at the Medtronic Innovation Center (MIC) Korea plays a critical role in ensuring the seamless execution of healthcare professional (HCP) training programs and operational excellence. This position is responsible for end-to-end administration across event management, inventory controls, corporate procurement, and on-site hospitality support. The ideal candidate will be highly organized, detail-oriented, and capable of managing rigorous compliance and logistical requirements in a fast-paced medical education environment.

Responsibilities may include the following and other duties may be assigned:


Event & Education Program Administration:

  • Coordinate and manage schedules for requested medical education programs, ensuring accuracy across organization booking calendars.

  • Initiate and manage pre-approval workflows for event expenses utilizing corporate event platforms (cVent).

  • Execute required administrative and legal documentation for speaker fees, honoraria, and advisory boards via compliance systems (onit).

  • Prepare and submit timely pre-declarations and screening/review requests to the Korean Medical Devices Industry Association (KMDIA) to ensure absolute regulatory compliance.


Inventory & Logistics Management:

  • Maintain and audit the facility's Fixed Asset tracking lists to ensure precise records.

  • Oversee comprehensive logistics and material management required for smooth execution of training programs.

  • Manage procurement and replenishment cycles for consumable supplies and operational items used during events.


Procurement & Financial Administration:

  • Execute purchase requisitions and generate Purchase Orders (PO) using the Ariba system.

  • Manage tax invoices, reconciliations, and financial tracking documentation via the GIP system.

  • Facilitate corporate capital and asset approval request processes through proper management channels.

  • Handle new vendor onboarding, registration, and profile maintenance in corporate systems.


On-Site & Hospitality Support:

  • Perform professional reception and front-desk duties on active event days, serving as the primary point of contact for visitors and HCPs.

  • Coordinate physical auditorium setups, AV readiness, and room configurations tailored to specific seminar/lab requirements.

  • Deliver top-tier client service, proactively responding to customer inquiries and providing live operational support during active sessions.

Required Knowledge and Experience:

  • Bachelor's degree or equivalent professional experience in Business Administration, Hospitality, or a related field.

  • Minimum of 3–5 years of administrative assistant, event coordination, or procurement support experience, preferably within a multinational or healthcare/medical device setting.

  • Proficiency with corporate enterprise systems such as Ariba, cVent, or similar ERP and compliance platforms.

  • Familiarity with KMDIA guidelines, fair competition codes, or medical compliance screening processes is highly advantageous.

  • Excellent communication, organizational, and multitasking skills with a strong customer-centric mindset.

  • Fluency in Korean, with professional proficiency in written and spoken English preferred for corporate communication.
