HH IT Lead Associate, Administrative Services

As the Lead Associate for Human Health IT (HH IT), you will play a crucial role in supporting our Vice President, HH IT. Your role will involve ensuring all administrative duties are carried out with precision, efficiency, and a commitment to excellence. This role presents a unique opportunity to collaborate across various IT and Human Health functions, while assisting our organization in pioneering new methods of communication, assessment, and engagement with our customers and patients through cutting-edge digital channels and technologies.

Your Core Responsibilities

  • You will manage and prioritize correspondence, acting as the primary point of contact between the VP and others

  • Arrange travel, including intricate, multi-leg, and international journeys

  • Provide administrative support, such as crafting and editing e-mails, drafting memos, and preparing communications on the executive's behalf

  • Maintain comprehensive and accurate records, demonstrating your exceptional attention to detail

  • Conduct minor accounting tasks, including submitting expense reports, showcasing your financial acuity

  • Organize meetings, including scheduling, sending reminders, and coordinating catering when necessary

  • Manage the executive's calendar, prioritizing the most sensitive matters and ensuring efficient time management

  • You will have the opportunity to coordinate and execute multiple tasks while understanding the principles and technical skills related to your assignments

  • Develop various work assignments requiring independent judgment, creativity, and problem-solving skills

  • Support the utilization of Team Sites, Sync communities, and our company databases

  • Communicate effectively with our company executives and internal/external clients both on-site and remotely, fostering collaborative workflow

  • You may get the chance to coordinate special projects within the division/area

  • Prioritize work and perform tasks for review with minimal supervision

  • Aiding with coordination of activities for other administrative assistants across the organization

Who You Are

You are ready if you have:

  • High School Diploma

  • Minimum of (8) years Administrative Assistant experience

  • Minimum of (3) years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)

  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.) and operation of other peripheral devices

  • SAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP

  • Experience scheduling complex travel arrangements including multi-leg domestic and international travel

  • Demonstrated experience with processing of Visas/Passports.

  • Advanced secretarial/clerical abilities with a proven track record of high performance

  • Demonstrated ability as a strong performer in current and past positions

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Experience with event planning and coordination

  • Extraordinary attention to detail

  • Exceptional communication and interpersonal skills

  • Experience with financial and budget tasks

  • Strong organizational skills and ability to multitask

  • Proactive, self-directed, with strong decision-making abilities

Preferred qualifications:

  • Advanced education (Associate’s or Bachelor’s degree) or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
