Job Description

The Senior Administrative Associate is responsible for providing comprehensive administrative support and office management for the Associate Vice President and 4 Executive Directors within Global Market Access. The incumbent is responsible for exercising professional judgment in the office, with a strong focus on the awareness of the confidential nature of the information flowing in and out of the office; managing calendars by arranging meetings and logistics, including accurate domestic and international travel support; managing expenses in a timely manner, and generating correspondence. The incumbent will also provide ad-hoc support to Directors, and Associate Directors with GMAx as assigned, acting as a central point of contact. Being a self-starter who can proactively manage priorities and independently resolves scheduling conflicts is a key dimension of the position. To execute these responsibilities, the incumbent must partner with many internal and external stakeholders, including the ability to integrate effectively and quickly with the other members of Support Staff. The ability to adjust to constant/changing situations and the ability to manage relationships with others is essential. Demonstrated experience in the logistical planning and execution of meetings, including verbal and written communication, and proactive management of meetings are critical to this role. Teamwork, attention to detail, flexibility and communication are crucial requirements to this position.

The primary activities include and are not limited to the following:

  • General Secretarial/Clerical duties constitute approximately 15% of job responsibilities

  • Manages complex Travel & Expenses for assigned Executive Directors

  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments

  • Coordinates internal and external events for assigned Executive Directors.

  • Work priorities and activities are reviewed with little supervision

  • Produces/completes various work assignments requiring analytical ability, independent judgment, creativity and problem-solving skills

  • Schedules complex, multi-leg and international travel

  • Supports the use of GMAx Team Sites and team distribution lists

  • Communication Skills must be at a level to effectively interact with our company's executives and internal/external client both on-site and remotely to maintain workflow

  • In addition to supporting the assigned Executive Directors within GMAx, this candidate will also support additional Directors and Associate Directors as assigned. This candidate will back-up other assistants within GMAx as needed.

Education Minimum Requirement:

  • Required: High School Diploma

  • Preferred: Advance education or certification such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required Experience and Skills:

  • Minimum of (8) years of Administrative Assistant experience

  • Advance computer skills using MS Outlook, WORD, EXCEL, Power Point and operations of other our company's internal systems

  • Demonstrated experience scheduling coordinating complex, multi-leg domestic and international travel

  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms, as well as report within SAP

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Extraordinary attention to detail

  • Outstanding communication and people skills

Preferred Experience and Skills:

  • Administrative experience supporting Executive Directors/Executives.

  • Notary Public license (assistance will be provided in obtaining license if candidate does not already possess one).

  • Budget/Finance Management experience.

  • Event Planning/Coordination experience.

  • Management of company Procurement Card.
