Office Product Group is seeking an experienced Executive Business Administrator to support the co-leader of Office Product Group, who leads the team behind M365 Copilot as well as the next generation of M365 apps like Designer and Clipchamp. She also leads the teams that produce flagship M365 apps such as PowerPoint, Word, and OneNote.

The Executive Business Administrator comes with an ability to effectively manage a high and time sensitive workload, work independently, deal with ambiguity and have a passion for making managers and organizations great. This person possesses the ability to set priorities, handle multiple time critical tasks simultaneously, and run the team in in a structured way.

Responsibilities

  • Provide complex administrative support for the Corporate Vice President (CVP), including calendar management with attention to detail, accuracy, and timeliness
  • Creates, builds, and manages annual rhythm of business (ROB) with executive leader(s) and Chief of Staff. Prepares team for ROB cadence and helps to manage workloads across multiple ROBs/orchestration across multiple ROBs
  • Effectively lead and support the business administrators within OPG rolling up to this leader
  • Manage domestic and international travel scheduling end-to-end including the proactive anticipation of logistics and itineraries
  • Process expense reports in a timely manner, as well as interim approve their Directs’ expense reports
  • Manage end-to-end logistics for CVP’s team meetings and offsites, which includes meeting logistics (booking space and catering), and material preparation
  • Work closely and collaboratively with the other business administrators within OPG and across Microsoft
  • Develop a deep knowledge of the overall business group strategy, as well as company policy, and act as an information resource to the business group
  • Anticipate and remove administrative roadblocks and make timely decisions across the business group
  • Budget management, including creating Purchase Orders, and tracking spend in partnership with the Chief of Staff
  • Maintain team aliases, other administrative projects as assigned
  • Procurement of goods and services using internal tools
  • Balance multiple projects end to end with varying deadlines, while maintaining executional and operational excellence within the business and across business groups as applicable.

Qualifications

Required Qualifications:

  • 7+ years experience providing Administrative or Business Support for a manager in a fast-paced environment, with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • 5+ years experience with project or office management including budget management, calendaring and understanding of the business to help the decision-making process.
  • 5+ years experience with Microsoft products including Outlook, PowerPoint, Word, Excel and Windows.

Preferred Qualifications

  • Adaptable in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally.
  • Able to work confidentially with highly sensitive material and information with discretion.
  • Able to learn new internal systems and become comfortable with new technologies.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $31.15 - $62.55 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.54 - $68.61 per hour.
