The Consumer Marketing Organization defines consumer vision, product management, business plans and go-to-market strategy for the Microsoft Modern Life, Search and Devices business. As one of the company’s largest multi-billion-dollar revenue businesses, the area includes Windows, Surface, M365, Microsoft Edge, and Bing.

The WebXT team is looking for an Executive Business Administrator to provide administrative support for four General Managers on the WebXT marketing and business planning teams. This position will require initiative, good judgment, the ability to set priorities and handle multiple teams and tasks simultaneously. Responsibilities

  • Provide strategic calendar management including understanding priorities and flagging deadlines.
  • Manage logistics for meetings including coordinating with Senior Corporate Vice President Executive Assistants.
  • Correspond with internal and external partners in a timely and professional manner.
  • Manage travel including but not limited to flights, hotel, car service, offsite meetings and dinner reservations.
  • Expense report reconciliation and management.
  • Prepping and driving monthly team meetings including compiling deck prior to meetings.
  • Morale event planning – plan and execute team morale events, coordinate setup, catering and logistics related to events.
  • Team management support – collaborate with Global Talent to facilitate internal and external recruitment efforts, onboarding activities, order supplies for team, point of contact for all brand marketing team needs, place facility requests as needed.
  • Cross Functional Collaboration – Strengthen network internally and externally across organizations to enable team and leaders work, proactively drive communication and liaise between executives and central teams to share information and best practices.
  • Other various tasks related to the job such as picking guests from the lobby, printing documents, checking mailboxes, assisting in event coordination.

Qualifications

Required/Minimum Qualifications:

  • 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management
  • 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
  • Experience with Microsoft productivity software including Outlook, all office suite programs, SharePoint, One Note, Teams, Employee Central, My Order, etc
  • Experience managing business support, or customer service experience in an environment with an emphasis on managing multiple projects & programs with successful outcomes
  • Experience supporting & collaborating with executive leaders & upper-level management in a fast-paced and complex environment

Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience
  • 4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others
  • Ability to collaborate effectively with partner organizations and teams
  • Proficient cross-team collaboration and organizational skills
  • Planning, organizational, time management and problem-solving skills
  • Ability to react with appropriate urgency to situations and requests
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $31.15 - $62.55 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.54 - $68.61 per hour.
