If you have initiative, drive, and are looking to be part of a fun and energetic team, this job is for you! The AI Platform Org in C+AI is looking for an experienced and energetic Business Administrator to be responsible for providing excellent administrative and project support.
Candidates must have excellent organizational, interpersonal and communication skills along with the ability to work independently and professionally with all levels in the organization. You must be resourceful and able to deal with ambiguity, possess solid project management and problem-solving skills, be able to work effectively under pressure and within short time constraints, prioritize while multi-tasking, and be flexible in the performance of the job responsibilities.
We are looking for a Business Administrator to support our AI Frameworks teams of 250+ Data Software Engineers. This is a fast paced and rapidly growing team. The Artificial Intelligence (AI) Frameworks team at Microsoft develops AI software that enables running AI models everywhere, from world’s fastest AI supercomputers, to servers, desktops, mobile phones, IoT devices, and internet browsers. The overall team operates at the intersection of AI algorithmic innovation, purpose-built AI hardware, systems, and software. We are a cross-discipline team of highly capable and motivated people with a collaborative and inclusive culture. We collaborate with and contribute to the open source community.

Qualifications
Required/Minimum Qualifications
- 2+ years Administrative, Business Support, and/or customer service experience
- OR equivalent experience
- Proficiency in Microsoft Outlook, Excel, Word
- Calendaring experience
Other Requirements
- Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: Microsoft Cloud Background Check:
- This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
Preferred/Additional Qualifications
- 3+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work
- Experience in iCIMS, EC, MyExpense, MyOrder, HR Insight, and MS Space preferred
- Verbal and written communication skills to support working with team members in various locations.
- Detail-oriented with problem-solving and troubleshooting skills.
- Cross-team collaboration skills.
- Ability to be flexible and work quickly and efficiently in a fast-paced environment.
- Ability to react with appropriate urgency to situations and requests.
- Be able to maintain confidentiality and use discretion and judgment at all times.
- Exercise sound judgment, tact, diplomacy, integrity and professionalism in all communications.
- Ability to lift and move standard office equipment (i.e. computers and peripherals)
Responsibilities
- Reviewing and approving team Expense Reports
- Partnering and cross-collaborating with AI Platform Administrative team as well as many parts of the C+AI organization. Partnering with HR, Staffing, and Finance as well as facilities for space management.
- Managing headcount, tracking open positions, creating requisitions, onboarding new hires, and keeping up to date with Headcount related tools. Maintaining distribution lists. Managing space allocation, anticipating possible compression issues, scheduling individual moves, and assisting with group moves for team members.
- Team support including space management, office moves, new hire set up and onboarding and procurement of equipment and supplies for ExP and AI Frameworks team in the US and Canada.
- Purchasing equipment for new hires and refreshes. Track assets, cost centers, PC Recycled assets, and equipment transfers.
- Managing operating budget and spend, identifying near-overages and issues. Partnering with Finance to ensure no reporting discrepancies. Acting as final approver on all team expense reports, ensuring coding accuracy.
- Organizing and planning off-sites and morale events at the team level. Cross-collaborating, planning, and providing support for org-wide events including Town Hall Meetings, org morale events, and other events as needed.
