Overview

The Xbox Chief of Staff team is seeking a Business Administrator to support the Chief of Staff and the Xbox executive office. You will be at the center of a fast-paced, high-impact organization, home to the iconic games, experiences and hardware that make Xbox a leader in gaming.

This role is critical to the operational rhythm of the Xbox leadership team. You’ll manage shifting priorities, keep complex operations running smoothly, and ensure leaders stay focused on what matters most.

The Business Administrator is organized, composed in dynamic environments, and comfortable collaborating with leadership and external partners, bringing sound judgment, care in handling sensitive information, and the ability to take initiative even when all the details are not yet available. Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
  • 5+ years experience managing complex calendars and travel for leadership teams.
  • 5+ years experience handling budget tracking, expense reporting, and headcount coordination.

Preferred Qualifications:

  • Experience driving execution and delivering impactful outcomes.
  • Experienced in calendar coordination, logistics, expense tracking, and team support.
  • Written and verbal communication – concise, clear, respectful, and inclusive.
  • Steady in dynamic environments. Works well with evolving timelines and shifting priorities.
  • Comfortable supporting a large organization; able to collaborate across diverse workstyles and lived experiences.
  • Displays sound judgment and discretion in handling confidential and sensitive information. Maintains a level of professionalism, ensuring privacy and trust are upheld across diverse teams and environments.
  • Proactively identifies opportunities to support team success, and the ability to anticipate and respond to evolving needs with agility and care.
  • Experienced in Outlook, Teams, Word, Excel, and Microsoft internal tools such as Employee Central, MyOrder, MSTravel, MS Space, and Expense Management.
  • Familiarity with Microsoft systems, security groups, purchase orders and asset tracking is a plus.
  • BA/BS degree preferred

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities

  • Keep priorities on track. Manage complex calendars for the Chief of Staff, aligning schedules with shifting priorities across the Xbox leadership team.
  • Anticipate needs. Proactively schedule, shift, or decline meetings based on context, not just availability. You’ll know what matters most, even before we ask.
  • Support the business of the team. Handle budget tracking, headcount coordination, expense reports, recruiting logistics, space planning, morale events, and onboarding.
  • Own the details. Oversee office operations: manage facilities tickets, supplies, audio/visual support, catering, equipment orders, mail and delivery logistics.
  • Travel like a pro. Book end-to-end executive travel including flights, hotels, cars, and stay ahead of changes in real-time.
  • Be our glue. Coordinate with Chiefs of Staff, Executive Assistants, and Xbox leadership to ensure smooth planning across org-wide programs, interns, events, and space planning.
  • Handle the inbox others don’t see. Manage distribution lists, security lists, M365 Groups, and ensure seamless communications across the organization.
  • Stay flexible. Field quick-turn requests and urgent needs even outside standard hours when necessary.
  • Cover where it counts. Provide backup to the President of Xbox’s Executive Assistants during planned PTO (Paid Time Off) and when help is needed on the fly.
  • Pitch in on special projects. Be ready to take the lead or assist as needed on evolving priorities.
