Overview

The Data, Platform & Growth (DPG) team is looking for an experienced and dynamic Executive Business Administrator to join our Bengaluru office. This role offers an exciting opportunity to support a global organization focused on transforming employee experiences and driving innovation. As the Business Administrator, you will provide comprehensive support to DPG employees in Bengaluru. You will manage operations, coordinate events, and ensure seamless execution of business rhythms. This position requires a proactive, customer-focused professional who thrives in a fast-paced environment and demonstrates exceptional organizational and communication skills.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • Skills: Strong planning, organizational, and time management abilities; adept at handling multiple priorities independently.
  • Communication: Excellent verbal and written communication skills with a professional, diplomatic approach.
  • Mindset: Proactive problem-solver who anticipates needs, adapts quickly, and remains calm under pressure. Positive leader within the business operations community, who fosters accountability and team success.
  • Technical Proficiency: Skilled in Microsoft tools (Outlook, Loop, PowerPoint, Word, Excel); Familiarity with internal tools (iCIMS, EC, MyExpense, ProcureWeb, M365 Groups, MSSpace) is a plus.
  • Values: High accountability, attention to detail, and commitment to confidentiality.

Other Requirements:
Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:
  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Responsibilities

  • Calendar & Event Management: Own and manage calendars of organization leaders, applying sound judgment and effective prioritization to accommodate rapidly shifting business needs, while ensuring smooth scheduling across time zones.
  • Team Support: Deliver exceptional administrative support for DPG and EXP teams in Bengaluru, driving team culture and maintaining a positive work environment.
  • Rhythm of Business: Support operational processes and ensure compliance with organizational policies.
  • Travel: Coordinate travel arrangements for leaders. Support logistics for DPG executives traveling to Bengaluru as needed.
  • Meeting & Event Coordination: Organize team meetings, all-hands, off-sites, and morale-building activities.
  • Budget & Expense Management: Track discretionary budgets, process expense reports, and maintain accuracy and attention to detail.
  • Procurement & Logistics: Manage workspace logistics, procure goods/services, and handle facility requests.
  • Recruiting & Onboarding: Coordinate recruiting logistics and onboarding for new hires. Provide headcount support to appropriately prioritize recruiting, update requisitions and PCNs as needed, and understand upcoming attrition to help the team align with allowed headcount targets.
  • Vendor Management: Oversee external staff and vendor relationships as needed.
  • Physical Setup: Occasionally assist with events or workspace setup.
