Overview
As an Executive Business Administrator to the Vice President (VP) of the Office of the Chief People Officer (CPO) and support for the Executive Assistant to the CPO, you'll work with a team of incredibly passionate leaders who are enabling our Chief People Officer to do transformational work across the company. In addition to day-to-day administrative duties, you’ll have the opportunity to learn and grow through project work and partnerships with other teams. In this role, you’ll be empowered to anticipate needs, orchestrate complex schedules, and enable clarity and connection—helping fuel a culture of care, innovation, and excellence.
This role is expected to be in the Redmond office five days a week.

Qualifications
Required Qualifications
- 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- 1+ year(s) experience serving as a mentor to others.
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
- OR equivalent experience.
- 2+ years experience serving as mentor to others.
- 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities
Calendar Management and Meeting Logistics
- Provides strategic calendar management and time planning support for Vice President (VP), aligning calendar based on VP’s preferences and style.
- Uses executive maturity and judgment with full knowledge of business context to identify and coordinate delegates, execute decisions around prioritization and maintain constant communication with manager and central staff.
- Serves as the back up EA to the Chief People Officer. Works in very close partnership with the lead EA.
Cross-Functional Collaboration and Communication
- Builds and leverages networks across organizations to enable their team and leader’s work.
Discipline Growth and Development
- Provides leadership wthin the discipline and participates in business support community.
- Actively seek to mentor less experienced Business Support colleagues
Team Management Support
- Support team event logisitics, supports recruitment and onboarding/offboarding, attends and supports leadership team meetings and manages headcount activities in collaboration with Business Managers and Chiefs of Staff.
Resource Management (Hardware/Supply Management, Purchase/Expense Management Financial Management)
- Owns expense management, asset managment, policy compliance.
- Participates in discretionary budget tracking (e.g., morale, hardware, supplies) and reporting.
- May contribute to complex budget management in partnership with peers (e.g., Finance, Controller, Business Managers, Chiefs of Staff) by reviewing, forecasting, and providing recommendations to ensure efficiency/quality.
Rhythm of Business (ROB)
- Partners with executive leaders and Chiefs of Staff to build and manage annual ROB, including fiscal year calendar and executive meeting schedules.
Space Management and Planning
- Oversees space-management processes and team spaces, leads large-scale space requests, and drives space changes based on utilization data.
Travel Management
- Coordinates travel arrangements, creates detailed itineraries, manages logistics, and ensures compliance with travel policies.
Project Ownership
- Balances mutliple projects end to end with vary deadlines while maintaining executional and operational excellence within the business and across business groups as applicable.
