As an experienced Executive Business Administrator, you will be the backbone of operational excellence—managing complex schedules, coordinating logistics, and supporting leaders to drive transformative changes across the organization. Responsibilities
Calendar Management and Meeting Logistics
- Provides strategic calendar management and time planning support, while upholding the highest degree of integrity (e.g., highly sensitive, highly confidential topics) and maintaining confidentiality.
- Manages and owns calendar, meeting preparation, and logistics based on knowledge of manager and business needs.
- Uses executive maturity and judgment with full knowledge of business context to identify and coordinate delegates, execute decisions around prioritization and maintain constant communication with manager and central staff.
- Manages complex ambiguity and thrives in gray space.
Cross-Functional Collaboration and Communication
- Strengthens and utilizes a vast internal and external network to enable team and leader's work.
- Proactively drives communication and liaises between executives, central teams, and other business partners to share information and practices that drive efficiency.
Discipline Growth and Development
- Provides leadership and actively participates in the Business Support community.
- Mentors Business Support professionals, contributes to organizational culture, and drives recruiting and onboarding processes.
- Builds and leverages network across organizations to enable their team and leader's work. Serves as a liaison between executives and teams.
- Communicates with external partners/audiences and third parties. Represents their leader(s) and Microsoft.
Team Management Support
- Collaborates with Global Talent Acquistion (GTA) to facilitiate internal and external recruitment efforts, partners with hiring managers to ensure a smooth process.
- Manages headcount activities.
Event Coordination and Logistics
- Owns the coordination, logisitcs, and direction events (e.g., quarterly team summits, Kaizens, Gemba Walks, etc.)
- Proactively drives actions needed to ensure event outcomes (e.g., developing workback schedule, checkpoints leading up to an event.)
- Partners with management and Continuous Improvement team to understand event goals and ensures successful execution.
- Collaborates and coordinates with stakeholders to set up events, manage supplier and business relationships end to end.
- Identifies learnings and suggests practices for future events.
- Acts as primary point of contact for event changes and escalations.
Leadership
- Leads by example and serves as a role model to Business Support colleagues, demonstrating executive presence, professionalism, and adapts to demanding situations and maintains professional composure.
Project Ownership
- Manages multiple complex projects and timelines, providing operations and project management support to leadership.
- Drives stakeholder accountability and process improvements.
- Streamlines processes, provides process improvements, and adjusts as needed. May delegate project tasks to Business Support team members and drives accountability of others.
Resource Management
- Owns expense management, budget tracking, statements of work, expense tracking and policy compliance.
- Partners with Finance on all aspects of budgets and headcount.
Rhythm of Business (ROB)
- Understands and helps to implement/maintain rhythm of business (ROB) in lin with recognized patterns, and proactively takes action on business cadence.
- Partners with executive leaders to build and manage annual ROB, including fiscal year calendar and executive meeting schedules.
Space Management and Planning
- Oversees space-management processes and team spaces, leads large-scale space requests, and drives space changes based on utilization data.
- Advocates for team needs.
Travel Management
- Coordinates travel arrangements, creates detailed itineraries, manages logistics, and ensures compliance with travel policies.
External Clients and Partners
- Manages CVP speaking engagements and interactions with internal and external stakeholders in partnership with relevant stakeholders.
Confidentiality and Trust
- Exercises the highest level of trust, discretion, and judgment in handling sensitive and confidential matters.

Qualifications
Required/minimum qualifications
- 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
- OR equivalent experience.
- 4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.
- 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
