We're looking for an organized, proactive Senior Business Administrator who brings structure, reduces friction, and helps the team operate at its best. In this role, you will drive operational excellence, create structure across a dynamic global team, and enable executive leaders to focus on their highest priorities, such as M365 Copilot. Responsibilities

Executive & Team Support

  • Provide complex calendar and time‑planning support for executive leaders
  • Manage community spaces and conference room calendars
  • Coordinate meeting logistics, room setup, and AV troubleshooting

Operations & Project Ownership

  • Drive operational execution across business rhythms
  • Own projects and deliverables with minimal supervision
  • Identify risks, streamline processes, and improve workflows

Events & Logistics

  • Support planning and execution of team meetings, offsites, and events
  • Create itineraries, manage logistics, and track outcomes

Resource & Financial Management

  • Oversee equipment inventory and space assignments
  • Process expenses, purchase orders, and assist with budget tracking
  • Partner closely with Finance and Business Managers

People & Space Management

  • Support recruiting logistics, onboarding/offboarding, and headcount tracking
  • Manage team seating, office moves, and space planning in partnership with space planners

Travel Coordination

  • Plan domestic and international travel using Microsoft tools
  • Build efficient itineraries and ensure travel documents and policies are met

Business Support Community

  • Mentor early in career administrators, share best practices, and contribute to team culture
  • Engage in ongoing learning and development


Qualifications

Required Qualifications:

  • 2+ years Administrative, Business Support, and/or customer service experience.
Preferred Qualifications:
  • 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Familiar with Microsoft tools, Outlook, PowerPoint, Word, Excel, and OneNote.
  • Accountability, reliability, and confidentiality.
  • Ability to work in the office a minimum of 3 days a week, some weeks may require 5 days in office.
  • A great attitude and positive approach to people and tasks.
  • Self-starter with the ability to work independently and solve problems.
  • Ability to make timely decisions, prioritize, and exercise sound judgment with appropriate urgency in situations that require a quick response.

Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.10 - $43.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $35.72 - $51.11 per hour.
