The M365 Growth + Incubation and Content Excellence team is looking for an experienced and enthusiastic Business Administrator to join our growing team. This is an exciting opportunity to be part of a 200+ person organization focused on Copilot and Viva growth and scaling incubation motions that deliver success and value for Microsoft 365 customers and partners. This role will provide administrative support to the M365 Growth + Incubation and Content Excellence leads and managers, including key business activities such as agenda management, travel arrangements, team and community activities coordination, and headcount/budget tracking and reporting. We are based in Redmond, with team members located around the globe.

We are looking for a Business Administrator who is customer-obsessed, service-minded and will bring solid planning, organizational and time management skills, along with a proven ability to work independently and collaboratively. In this role, you will be a critical thinker with initiative who anticipates business needs and demonstrates flexibility and calm under pressure. Experience managing logistics for complex events is necessary for success in this role.

Responsibilities

Calendar management and meeting/event logistics:

  • Calendar management and meeting logistics including: proactively managing calendars using sound judgement and prioritization when business needs shift, and ensuring accurate scheduling, managing meeting coordination, organizing travel agenda and activities.
  • Meeting and event coordination: planning and setup for general meetings, all hands, off-sites, morale events, large customer conferences, individually and with peers

Rhythm of Business coordination aligned with recognized patterns, and proactively taking action on business cadence and providing feedback to drive efficiency and improvements in the RoB.

Resource management

  • Discretionary budget tracking, and expense report processing with accuracy and attention to detail
  • Procurement of goods and services, including computer equipment, office supplies, facilities requests

Cross-functional collaboration, compliance, and communication

  • Lead by example and serve as a role model to Business Support colleagues by maintaining a positive attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during dynamic situations. Provide exceptional customer service, and drive team culture by maintaining a positive work environment.
  • Ensure compliance with Microsoft operational and security policies and procedures.
  • Maintain and manage up-to-date space management process and coordinate with broader business administrative team on space utilization, workspace moves and seasonal spaces as needed.

General: Provide general team support, manage temporary and external support resource requests as needed. Role may require occasional lifting.



Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Preferred Qualifications:

  • Effective communication, verbal and written, and interpersonal skills, tact, diplomacy, integrity, negotiation, and professionalism
  • Effective organizational skills with the ability to prioritize among multiple projects
  • Proven track record of accountability and reliability and achieving results with accuracy and attention to detail
  • Ability to make timely decisions, prioritize, and exercise sound judgment with appropriate urgency in situations that require a quick response
  • Maintain utmost confidentiality with sensitive and personal information
  • Proficiency with Microsoft productivity software including Outlook, OneNote, PowerPoint, Word, and Excel
  • Experience with internal Microsoft applications including iCIMS, HeadTrax, MSExpense2, MyOrder, MSTravel, IDWEB, MSS, MSSpace and ManagePointHR is a plus

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
