To support this mission, GCS is hiring an Executive Business Administrator (EBA) to support our Corporate Vice President (CVP). This role requires exceptional executive maturity, strategic thinking, operational excellence, and the ability to navigate a fast‑paced, highly visible environment.
The successful candidate will work in close partnership with the GCS Chief of Staff, the GCPS leadership team, partner executives, and across Microsoft and must be an expert as building mutually beneficial trust-based relationships to effectively scale. This role will deliver best‑in‑class calendar stewardship, executive engagement support, cross‑organizational communication, travel management, resource oversight, and high‑value contributions to the GCS Rhythm of Business (ROB).

Responsibilities
Calendar Management & Meeting Logistics
- Provides highly strategic calendar management for the CVP, ensuring time is aligned to the most critical internal, customer, and partner priorities.
- Owns end‑to‑end calendar execution, including meeting intake, preparation, logistics, and coordination across GCS, GCPS, segments, engineering, finance, and partner teams.
- Uses sound judgment, business insight, and executive maturity to make independent decisions regarding prioritization, tradeoffs, and delegation while handling highly sensitive and confidential topics.
- Partners closely with the GCS Chief of Staff to align calendar decisions with organizational priorities, proactively resolve conflicts, and ensure the CVP is prepared for all engagements.
- Engages directly with partner and customer C‑suite executives and their staff to secure strategic meetings and represent the GCS executive office.
- Remains calm and effective in high‑pressure, complex, or time‑sensitive situations.
Cross‑Functional Collaboration & Communication
- Strengthens a broad internal and external network across GCS, GCPS, solution areas, segments, engineering, finance, HR, operations, and marketing to support CVP and organization-wide priorities.
- Works in deep partnership with the GCS Chief of Staff to support leadership rhythms, communication flows, and briefing processes, ensuring the CVP receives the right context and materials for every engagement.
- Serves as a key liaison between the CVP, Chief of Staff, Business Managers, and senior stakeholder groups, ensuring timely flow of information and consistent follow‑through.
- Coordinates executive-level communications, pre-read distribution, briefing packets, and follow-up actions.
- Communicates with executive maturity, representing the CVP’s office and Microsoft’s values in all interactions with internal stakeholders and external partners.
- Acts as an extension of the CVP’s brand and sets a high standard for professionalism, clarity, and discretion.
Leadership, Mentorship & Community Engagement
- Acts as a fully participating member of the GCS Leadership Team, supporting alignment, strengthening collaboration, and modeling the culture and values expected of GCS leaders.
- Leads by example, demonstrating executive presence, professionalism, tact, and empathy.
- Mentors and supports Business Support and Executive Admin professionals across GCPS, contributing to a culture of growth, inclusion, and operational excellence.
- Onboards and trains new regional Business Support staff, sharing best practices and building community.
- Actively engages in personal development through feedback, learning opportunities, and a growth mindset.
- Supports team connection moments, morale-building initiatives, and cultural health across GCS.
Rhythm of Business (ROB) Partners closely with the GCS Chief of Staff to support execution of the GCS ROB, including leadership forums, executive reviews, planning cycles, and major business milestones.
- Ensures calendar alignment to key ROB moments and proactively surfaces potential conflicts or workload pressure points.
- Contributes to communication and logistics support for ROB activities, helping the team stay aligned and prepared.
- Provides insight into scheduling patterns and recommends adjustments that enhance organizational clarity and effectiveness.
Resource & Financial Management
- Owns expense management for the executive office, ensuring compliance with Microsoft policies and timely, accurate reporting.
- Serves as interim expense approver for the CVP’s direct reports.
- Educates Chief of Staff on policy compliance and escalates issues as needed.
Travel Management
- Coordinates complex domestic and international travel with Executive Travel, including itineraries, logistics, and on-the-ground support.
- Ensures CVP has all briefing documents, context packets, and local insights to maximize trip productivity.
- Acts as an on-call resource during travel to address real-time changes or escalations across time zones.
- Ensures compliance with all required documentation and Microsoft travel policies; may accompany the CVP for onsite support at major events.
Event Coordination & Leadership Engagement Logistics
- In partnership with GCS Chief of Staff, plans and executes meeting and event logistics for key GCS events, such as Leadership Team offsites, executive forums, global partner engagements, and internal all-hands.
- Partners with the CVP, Chief of Staff, and central teams to define event objectives, success measures, agendas, and run-of-show logistics.
- Demonstrates executive presence while interacting with senior internal stakeholders and external partner executives.
Project Ownership & Operational Excellence
- Manages and supports as a key contributor on a vteam, high-impact projects and workstreams as assigned that enable the GCS executive office (e.g., executive readiness processes, partner engagement programs, leadership communications).
- Provides structured operational and project management support, including timelines, accountability frameworks, tracking mechanisms, and decision logs.
- Identifies risks, dependencies, and opportunities for process improvements; communicates recommendations proactively.
- Maintains operational rigor and drives simplification and efficiency across the executive office.

Qualifications
Required/minimum qualifications
- 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.
- 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
