Executive Business Administrator

The Intune organization within Microsoft Security is seeking an Executive Business Administrator (EBA) to serve as a trusted, strategic partner to a Vice President leading a complex, global product organization. This role operates with a high degree of autonomy and executive maturity, enabling leader effectiveness, operational rigor, and organizational alignment across Microsoft Security.
The Executive Business administrator is expected to function as an extension of the VP—anticipating needs, exercising independent judgment, and influencing outcomes through exceptional execution, discretion, and business acumen. Success in this role requires comfort operating in ambiguity, managing scale, and balancing competing priorities across senior stakeholds.
Responsibilities
Executive Partnership & Strategic Calendar Management
- Own end‑to‑end calendar strategy for the VP, independently prioritizing and sequencing time based on business impact, organizational priorities, and leadership intent.
- Act as a trusted advisor and gatekeeper, making real‑time decisions on tradeoffs, escalation, and alignment across competing demands.
- Partner seamlessly with senior leaders, Chiefs of Staff, and executive administrators across Microsoft Security and the broader company.
Business Operations, Travel & Financial Stewardship
- Lead complex domestic and international travel planning, agendas, and logistics to support executive effectiveness and business outcomes.
- Ensure accurate, timely processing of expenses while supporting OpEx tracking and budget discipline in partnership with Finance.
- Order and manage hardware, equipment, and supplies for the team; partner with IT/Facilities and internal tools/processes to ensure timely delivery and policy compliance.
- Maintain a high bar for operational excellence, compliance, and attention to detail.
Leadership Rhythm & Organizational Execution
- Partner closely with the Chief of Staff to co‑own planning and execution of the organization’s Rhythm of the Business (ROB), including leadership meetings, business reviews, All Hands, and strategic forums.
- Support execution of leadership summits, offsites, morale moments, and cross‑org engagements that reinforce culture, clarity, and connection.
- Drive follow‑through by ensuring decisions, actions, and communications land effectively across the organization.
People, Headcount & Space Enablement
- Support headcount management and recruiting operations, including onboarding of FTEs and external staff.
- Coordinate facilities, office space planning, and move logistics to support leadership and team needs.
- Serve as a connector across global teams, enabling consistency, collaboration, and operational alignment at scale.
Operational Excellence & Continuous Improvement
- Identify opportunities to streamline processes, reduce friction, and improve how the executive office operates.
- Leverage tools, automation, and AI where appropriate to simplify work and increase efficiency.

Qualifications
Required Qualifications:
- 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- Proven ability to operate independently with limited direction while managing highly complex calendars, priorities, and stakeholder dynamics.
- Organizational, interpersonal, written, and verbal communication skills.
- Business judgment and the confidence to make decisions on behalf of executive leadership.
- Advanced proficiency with Microsoft tools and internal systems, including Outlook, Word, PowerPoint, Excel, MSExpense, Manager Self Service (MSS)/Headtrax, MSSpace, and Informa.
Preferred Qualifications:
- Experience supporting global product, engineering, or security organizations.
- Familiarity with Microsoft Security and/or Intune environments.
- Bachelor’s degree preferred but not required.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
