Within Azure Data, the Data Integration team builds data gravity on the Microsoft Cloud. Massive volumes of data are generated, not just from transactional systems of record, but also from the world around us. Our data integration products, like Fabric Data Factory, Azure Data Factory, Synapse Pipelines, and Power Query, make it easy for customers to bring in, clean, shape, and join data, to extract intelligence.​

This role operates in various capacities, working with the leader and their leadership team by showing excellence in administrative functions and collaboration. You will be responsible for executive and partner-level interfaces, contact with customers, external partners, and all levels within Microsoft.

The ideal candidate will need to be able to manage complex ROBs, have highly professional interpersonal and customer service skills; take initiative; demonstrate good judgment and can maintain confidentiality. You will also need to set priorities and handle multiple tasks simultaneously. Being detail oriented and having consistent and timely follow-through will be essential to success.

Responsibilities

Calendar Management and Meeting Logistics

  • Provides complex calendar management and time planning support for Corporate Vice President (CVP).
  • Aligns calendar based on knowledge of CVP's preferences and operating styles (e.g., personal needs, allocation to business priorities).
  • Develops deep understanding of CVP priorities and business critical areas.
  • Ensures preparation of meeting setting (e.g., booking rooms, assisting with troubleshooting audio-video [AV] and technical issues).
  • Manages ambiguity by seeking clarity and exercising good judgment.

Discipline Growth and Leadership

  • Leads by example and serves as a role model to Business Support colleagues by maintaining a professional attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during challenging situations.
  • Actively seeks to mentor Business Support colleagues.

Rythm of Business (ROB)

  • Develops understanding of rhythm of business (ROB), key stakeholders, and interdependencies within the business and recognizes patterns.
  • Helps to execute business cadence (scheduling/meeting logistics) around the ROB of the team and identifies patterns and key stakeholders.

Project Ownership

  • Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence within the business and across business groups as applicable.
  • Takes accountability for project outcomes and drives stakeholder accountability through consistent communication.
  • Identifies impacts and risks across the organization and communicates these to partners and key stakeholders.
  • Streamlines processes, provides process improvements, and adjusts as needed.
  • May delegate project tasks to Business Support team members and drives accountability of others.

Resource and Travel Management

  • Contributes to and oversees planning, tracking, maintenance, and adjustment of equipment and inventory based on stock requirements and business needs.
  • Processes expense reports with full compliance of Microsoft policy.
  • Participates in discretionary budget tracking (e.g., morale, hardware, supplies) and reporting.
  • Performs vendor and supplier management (e.g., ensuring set up for financial processing, opening purchase orders - POs).
  • Contribute to budget management in partnership with peers (e.g., Finance, Business Managers).
  • Space management and planning in alignment with Executive Office and other peer teams.
  • Provides travel arrangements using Microsoft tools (e.g., accommodations, transportation, security, group codes) for manager(s) and/or group.
  • Create itineraries for daily activities and learn to maximize trip itineraries.
  • Follows travel policies and leverages guidance from experienced Business Support colleagues as necessary.

Team Management Support (Headcount Management, Recruitment, Onboarding/Offboarding)

  • Leads team experience activities.
  • Collaborates with Global Talent Acquisition (GTA) to support internal and external recruitment efforts, and partners with hiring managers to ensure a smooth process, under guidance of senior colleagues as needed.
  • Coordinates logistics and provides onboarding support for new employees, vendors, and interns, under the direction of senior team members.
  • Maintains and manages headcount activities, including staff movement/transfers, reporting, offboarding, and transactions within relevant headcount management tools.
  • Supports or owns planning, coordination, and support for events, project deliverables and tasks, fully owning project outcomes end-to-end.

Qualifications

Required/Minimum Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management
    • OR equivalent experience.

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements is required for this role. These requirements include, but are not limited to the following specialized security screenings: Microsoft Cloud Background Check:

    • This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred/Additional Qualifications:

  • ​​Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
