Job Summary

The International Workplace Experience Program Manager is responsible for International HQ Workplace Experience and International Programs.

This role reports to the Director of Workplace Experience EMEA & APAC and is predominantly site based with occasional international travel.

Job Responsibilities/Requirements

  • Operational ownership for workplace experience and day to day facilities operations.

  • Knowledge of critical facilities and an understanding of basic technical aspects of facilities management systems including HVAC, Critical Environments, Life Safety, Mech & Elec, BMS systems etc.

  • Health & Safety Management including on site safe working environment, site walks, fire alarm tests, statutory regulations, occasional out of hours escalations/incidents as part of the ERT.

  • Financial Management across the hard and soft opex budget, snack programs, events, and capex.

  • Strong vendor management skills including service level agreements, standard operating procedures, key performance indicators and quality reporting focusing on improvement and value for money.

  • Working in collaboration with internal business units to support and deliver on site events/EBCs etc.

  • Management of front of house workplace experience in terms of brand management, incoming guests/partners/candidates including responsibility for front of house manual, occasional cover for reception and training of cover teams.

  • Support and guide small works/refresh projects/occasional capex works with vendor partners.

  • Active participation in the IHQ management team meetings.

  • Induction and new hire orientation

Additional Responsibilities

International Programs – Fleet

  • Fleet support vendor management (c600 vehicles across EMEA).
  • PO creation, new hire fleet allocation, fleet renewal/termination and fleet allowance/fine queries.

International Programs – Lease

  • Visual Lease Database management.
  • Internal lease process management including approval/signatory/lease binder process, tech accounting, 10Q reporting etc.
  • Third party vendor management and support of EMEA APAC Savills lease admin and Regus/IWG.
  • Desana and Regus account administration including employee set up/SharePoint/FAQs/training etc.

International Programs – Other

  • Management of WX mailbox, MV mail and all on-off boarding messages globally.
  • Admin support for Amsterdam office including PO creation, gym program and immigration letters.
  • Cross functional collaborate IT, HR, Marketing, Procurement, Tech Accounting, Legal etc.
