Overview:
We are looking for a team assistant with English and German language skills to provide a diverse range of assistant services primarily to our local Management Board members.
Assistant Services to local Management Board and Legal Entity Management team:
- General secretarial tasks for the Management Board such as fixing appointments, preparation/collection of documents for meetings, maintaining internal calendars/lists, registration to conferences and events
- Booking of travel, entertainment and events for the Management Board and handling of travel & expense claims
- Collecting data for and updating briefing notes in connection with meetings of the group’s senior managers with German clients and authorities/regulators
- Arranging appointments, booking transfers for senior managers who are visiting from other Nomura offices
- Support in the organizing of internal events
Skills, experience, qualifications and knowledge required:
- English and German language skills
- Demonstrated ability to coordinate schedules, manage multiple calendars, and prioritise tasks efficiently to support high-level executives and teams.
- Experience in arranging complex travel itineraries, preparing expense reports, and handling logistical needs such as booking meeting rooms and transportation.
- Proven track record in providing administration support, including managing requests from board members and coordinating cross-divisional communication.
- Ability to work closely across teams, including HR, real estate teams, and international offices to facilitate seamless operations and support expatriate needs.
- Strong attention to detail and experience ensuring compliance with relevant policies and procedures.
