Role Description:
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level administrative and strategic support to senior executives. The ideal candidate is a trusted business partner who anticipates needs, manages competing priorities, and ensures the executive’s time is optimized through exceptional calendar management, communication, and operational support.
Skills, experience, qualifications and knowledge required:
Key Responsibilities
- Manage complex calendars, meetings, and scheduling across multiple time zones.
- Coordinate domestic and international travel, including flights, hotels, transportation, visas, and detailed itineraries.
- Prioritize and manage incoming communications, including emails, phone calls, and correspondence.
- Prepare presentations, reports, agendas, meeting materials, and executive-level communications.
- Take meeting notes, track action items, and follow up to ensure timely completion.
- Coordinate internal and external meetings, board meetings, client meetings, and leadership offsites.
- Serve as a liaison between executives, business leaders, clients, and external partners while maintaining professionalism and confidentiality.
- Manage expense reports, invoices, purchase orders, and budget tracking.
- Support special projects, strategic initiatives, and cross-functional coordination.
- Maintain confidential records and handle sensitive information with the highest level of discretion.
- Improve administrative processes and identify opportunities to increase executive efficiency.
- Qualifications
- Bachelor’s degree preferred.
- 5+ years of Executive Assistant experience supporting C-suite or senior executives.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
- Strong problem-solving skills with the ability to anticipate executive needs.
- Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration tools such as Microsoft Teams, Zoom, Slack, and Google Workspace.
- Preferred Qualifications
- Experience supporting multiple executives simultaneously.
- Experience in financial services, consulting, or other fast-paced corporate environments.
- Event planning and board meeting coordination experience.
- Project management experience.
- Familiarity with expense management systems such as Concur.
