Job Overview:

Oliver Wyman Actuarial Consulting seeks an organized, proactive Executive Assistant to support a Partner and the New York Office Leader within the NAPAC Life practice, with the potential to support additional senior leaders. The EA will provide high-touch administrative support, manage calendars and travel, assist business development activities, and contribute to EA team operations.

This role requires excellent judgment, strong communication skills, and the ability to manage competing priorities in a fast-paced professional services environment.

Oliver Wyman Actuarial Consulting is seeking an organized and enthusiastic Executive Assistant to support up to 3 Partners.

Hybrid role (office 3 days/week; Wednesday anchor day) — no fully remote option

Key Responsibilities:

Executive & Administrative Support

  • Maintain dynamic calendars and schedule internal/external meetings.

  • Prepare weekly timesheets and expense reports for assigned leaders accurately and on time.

  • Manage incoming mail and distribute to appropriate teams/individuals.

  • Prepare letters, proposals and other documents using Oliver Wyman formatting and standards.

Meeting & Event Coordination

  • Reserve conference rooms and register guests; provide detailed visitor instructions.

  • Coordinate team meetings, monthly lunches, happy hours, and the annual holiday party.

  • Take and capture client meeting notes; update contacts and records in Salesforce diligently.

Travel & Logistics

  • Coordinate travel and accommodations (air, rail, cars, hotels).

  • Anticipate and apply partner/office-leader travel and scheduling preferences.

Business Development & CRM

  • Maintain and update contacts and business activities in CRM (Salesforce).

  • Track and maintain sales activity/pipeline for each Partner.

  • Build relationships with clients and their EAs; identify clients needing outreach and execute requested follow-ups.

Team & Cross-Coverage

  • Provide coverage for other EAs during absences or transitions to ensure uninterrupted support.

  • Provide short-term partner coverage when needed and train/support new EAs.

  • Participate in EA team meetings and projects to improve processes and team performance.

Continuous Improvement & Professionalism

  • Proactively understand partner objectives and help advance business goals.

  • Seek opportunities to streamline administrative processes and adopt best practices.

Experience Required:

  • Minimum 3 years’ experience as an Executive Assistant supporting senior leaders.

  • Proven ability to manage heavy workloads, multiple priorities, and deadlines in a fast-paced environment.

  • Preferred- Bachelor’s degree preferred. - Experience in financial services, management consulting, or other professional services.

Skills and Attributes:

  • Technical: Advanced Outlook; strong Word, PowerPoint and Excel skills. Salesforce experience a plus; training provided.

  • Personal: Friendly, mature, poised, collegial; positive attitude with a sense of fun.

  • Work style: Self-starter, flexible, strong initiative; comfortable working with limited guidance.

  • Communications: Excellent written and verbal communicator; strong negotiation and stakeholder management skills across multicultural environments.

  • Mindset: Strategic thinker who accepts constructive feedback and applies it quickly.

The applicable base salary range for this role is $70,000 to $95,000.

The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
