We have an immediate opening for an Executive Assistant in our New York City office.
Job Description:
The Executive Assistant provides high-level support to Managing Directors, Directors and their teams and will be involved in various project management and complex administrative tasks that are often highly confidential and time sensitive. You will help manage deadlines, analyze and organize information, and request information from others. Working in a team environment, this role requires excellent attention to detail and accuracy. You must be able to effectively multi-task and be very flexible to work as part of project teams in a fast-paced environment.
Responsibilities:
Prepare, format, and/or edit text, data and graphics in expert reports, proposals, and presentations; work with in-house graphics professionals to ensure publications are consistent with NERA style guidelines
Create Word, Excel, and PowerPoint files that adhere to company identity and document standards
Update and post CVs for consulting team on NERA’s intranet
Liaise with in-house contracts and legal teams to assist with RFPs and responses to client requests for forms, business licenses, etc. needed for contracts
Prepare, reconcile, and track expense reports and reimbursements
Manage Outlook calendars
Coordinate meetings across multiple time zones (internal and external venues) including room booking, vendor/AV set up, material preparation, security registration, and catering
Plan and book domestic and international travel; coordinate international visas and ensure passports are current; prepare detailed itineraries
Enter new project opportunities; check for conflicts; and locate client information using NERA’s global database
Prepare client engagement letters
Use CRM software to maintain and update contacts and interactions
Complete forms and contracts using Adobe Acrobat
Type, photocopy, file, and provide phone coverage
Prepare monthly invoices, including cover letters and supporting documents, and follow up with the billing team and clients
Organize and bind case documents and prepare materials for internal and client meetings
Conduct basic research as needed
Requirements:
Five years of experience providing administrative support, preferably in a legal or professional services environment; Bachelor’s degree preferred—specifically in business or a liberal arts major such as English
Self-starter with a high-energy team mentality who enjoys a challenging and professional work environment
Knowledge of or background in finance, economics and/or legal service industries a plus
Strong Microsoft Office skills including Word, Excel, PowerPoint and Outlook
Excellent oral and written communications skills, proofreading/editing skills and attention to detail
Project management experience
Outstanding client interaction and interpersonal skills
Good judgement and ability to solve problems independently and discreetly
Experience adding value and functioning at a high level when supporting projects with urgent deadlines
Ability to anticipate needs of team members by prioritizing responsibilities and proactively managing schedule changes
The applicable base salary for this role is $90,000 – $95,000 per year and eligible for overtime.
The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
