Role Purpose
The Office Services Specialist ensures the smooth, efficient, and compliant operation of Oliver Wyman’s Amsterdam offices. This role proactively anticipates and resolves operational needs, delivers a high‑quality workplace experience, and acts as a trusted partner to internal stakeholders and external vendors, while upholding strict confidentiality and GDPR standards.

Strengthens compliance, risk management, and service consistency across office operations.
Core Responsibilities
Facilities & Office Management
Oversee all aspects of office facilities across two Amsterdam locations, proactively addressing issues and ensuring a safe, fully operational workspace.
Coordinate maintenance, repairs, and space‑related needs to support a positive working environment.
Vendor & Contractor Management
Build and maintain strong, trust‑based relationships with vendors and contractors.
Monitor service quality and escalate issues to the Regional Head of Office Services when required.
Health, Safety, Security & Compliance
Ensure compliance with health, safety, security, and GDPR requirements through regular checks and risk mitigation.
Manage the access card system, including issuance, renewal, and deactivation for employees, contractors, and visitors.
Procurement, Cost Control & Reporting
Manage procurement of office and pantry supplies, maintaining accurate inventory and cost‑effective usage.
Process invoices and requisitions accurately and on time through the iProcurement system, supporting finance queries as needed.
Events, Front‑of‑House & Logistics
Support the planning and execution of internal office events, including room bookings, setup, catering coordination, and on‑site support.
Deliver professional front‑of‑house services, greeting visitors, managing calls, and ensuring meeting rooms and technology are set up effectively.
Operational Support & Continuous Improvement
Provide insights on office operations and proactively identify opportunities to improve service delivery and efficiency.
Collaborate closely with internal teams at all levels to support operational needs and foster a positive, cooperative working environment.
Key Competencies
Advanced Organisational and Time Management Skills: Expertise in prioritising and managing complex tasks and multiple projects simultaneously, ensuring efficient office operations and optimal resource allocation.
Strong Communication and Interpersonal Skills: Competent in both verbal and written communication, adept at fostering a collaborative and inclusive work environment while building and maintaining strong relationships with colleagues, vendors, and stakeholders.
Proactive Problem-Solving and Adaptability: Demonstrated ability to identify potential issues before they arise and implement effective, strategic solutions to enhance office operations, while remaining flexible and responsive to evolving circumstances.
Attention to Detail and Financial Acumen: Strong focus on detail in procurement processes and compliance, coupled with a comprehensive understanding of financial management and cost control strategies.
Emerging Leadership and Team Collaboration: Developing the ability to support and motivate team members, fostering a collaborative environment. Actively learning to guide colleagues towards shared objectives while encouraging open communication and teamwork.
Fluency in English and Dutch, both spoken and written, is essential in the Amsterdam office environment
Proficiency in digital and office tools (Excel, PowerPoint, iProcurement, etc.)
Comfortable using generative AI tools (e.g., ChatGPT, LenAI) to improve productivity, support problem-solving, and streamline routine tasks, while exercising critical thinking and professional judgment.
Strong customer service orientation with a proactive approach to understanding and anticipating internal stakeholder needs.
