Job Summary:

The PMO Analyst II plays a critical role in enabling project visibility, operational efficiency, and portfolio governance across a fast-paced manufacturing or engineering organization. This role blends advanced project reporting and governance with expert-level support and development of Smartsheet tools. The analyst partners closely with project managers, functional leads, and cross-functional teams to optimize PMO systems, automate workflows, and generate actionable insights that drive decision-making and continuous improvement. This position is ideal for candidates with strong analytical skills, experience in project environments, and hands-on expertise with Smartsheet solutions.

Essential Duties:

Smartsheet Development & System Optimization

  • Develop, configure, and maintain Smartsheet templates, reports, dashboards, and project tracking sheets across the project portfolio
  • Administer and optimize advanced Smartsheet features such as Control Center, Data Shuttle, Dynamic Views, and automated workflows
  • Identify, implement, and enhance workflow automations to streamline PMO operations and reduce manual effort
  • Standardize and document Smartsheet processes to ensure consistency, scalability, and user adoption
  • Collaborate with PMO leadership and functional teams to translate business needs into technical Smartsheet solutions

Reporting & Portfolio Performance Analysis

  • Create and refine executive dashboards, KPIs, and visual scorecards to support real-time portfolio oversight and reporting
  • Analyze program- and project-level data to identify trends, risks, and improvement opportunities
  • Distribute automated, accurate, and stakeholder-friendly reports at regular intervals
  • Integrate data from other platforms (e.g., Power BI, Excel, SharePoint) into Smartsheet reports for comprehensive visibility

Project Governance & Controls

  • Enforce the application of governance standards including phase gates, change control, and risk management processes
  • Manage and maintain standardized PMO documentation templates and artifact repositories within Smartsheet
  • Support internal and external audits by organizing and providing key documentation and status materials
  • Facilitate project reviews, issue tracking, and status reporting aligned with PMO governance routines

User Support, Training & Knowledge Management

  • Serve as the primary point of contact for Smartsheet-related questions, troubleshooting, and enhancement requests
  • Provide user training, job aids, and knowledge-sharing sessions to improve user confidence and system utilization
  • Support onboarding of new PMO members and project teams in Smartsheet best practices and tools
  • Mentor junior analysts on data accuracy, reporting, and Smartsheet capabilities

Cross-Functional Collaboration

  • Liaise with project teams, engineering, procurement, construction, and operations to align on reporting and tracking practices
  • Gather and validate requirements from stakeholders to enhance PMO tool functionality and usability
  • Support communication and coordination of cross-project risks, interdependencies, and resourcing needs

Personal Protective Equipment (PPE) Requirements:

  • To ensure the health and safety in the workplace and for our employees’ protection, wearing PPE is a possibility and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator. A respirator fit test will be required based on functional area.

Requirements - Required and/or Preferred:

Education:

  • Required: Bachelor’s degree in Business Administration, Information Systems, Engineering, Project Management, or a related field. An equivalent combination of education and relevant experience may be considered in lieu of a degree.
  • Preferred: Master’s degree (MBA, MS in Project Management, Engineering Management, or Data Analytics)

Essential Qualifications:

  • 3+ years of experience in a PMO, project coordination, or business systems support role in manufacturing, engineering, or construction
  • Advanced proficiency in Smartsheet (including Control Center, Data Shuttle, Dynamic Views), along with Excel, Power BI, and SharePoint
  • Proven ability to build and maintain automated project tracking tools, dashboards, and reports for executive stakeholders
  • Experience in project governance, documentation management, and facilitating structured project reviews
  • Excellent analytical, communication, and organizational skills with the ability to manage multiple priorities
  • Ability to troubleshoot technical issues and clearly communicate solutions to non-technical users
  • Demonstrated ability to work independently in a fast-paced environment and drive cross-functional collaboration
  • Must have working-level knowledge of the English language, including reading, writing, and speaking English
  • Alignment to Panasonic’s seven (7) core principles (contribution to society, fairness and honesty, cooperation and team spirit, untiring effort for improvement, courtesy and humility, adaptability, gratitude)

Preferred Qualifications:

  • Familiarity with additional platforms such as JIRA, MS Project, SAP, Foundry/Palantir, or ServiceNow
  • Experience with workflow automation, resource planning, or portfolio-level forecasting
  • Knowledge of Agile, PMI, or hybrid project methodologies
  • Background in audit support, compliance, or risk management
  • Experience in lithium-ion battery or high-volume manufacturing environments
  • Experience working across multiple time zones and cross-functional teams

Preferred Certification(s):

  • Smartsheet Product Certifications (e.g., Core Product, System Administrator, Control Center)
  • Project Management certifications (PMP, CAPM, PMI-PBA)
  • IT or business analysis certifications (e.g., ITIL Foundation, CBAP, Lean Six Sigma Green Belt)
  • Microsoft Office Specialist (especially PowerPoint and Excel)
